JOB SUMMARY

We are seeking a Surgery Scheduler to coordinate all activities related to scheduling surgical procedures and supporting perioperative care. This position works closely with patients, providers, hospitals, and clinical staff to ensure accurate scheduling, completion of preoperative requirements, and seamless communication throughout the surgical process. The role also provides administrative support to providers in the clinic, assists with patient coordination, and contributes to efficient clinic operations while delivering exceptional customer service and maintaining compliance with organizational standards.

 

JOB DUTIES AND RESPONSIBILITIES

Surgical Scheduling & Care Coordination

  • Schedule surgeries and related appointments in Epic.
  • Review referrals, orders, and surgical postings for accuracy and completeness.
  • Coordinate pre-op testing, clearances, imaging, and post-op follow-up.
  • Support bariatric, weight loss, minimally invasive, and multispecialty surgical programs.

Patient Communication & Navigation

  • Educate patients on pre- and post-operative requirements.
  • Communicate surgery dates, appointment details, and preparation instructions.
  • Respond to patient questions and provide ongoing support throughout the surgical process.
  • Assist with coordinating patient seminars and group sessions, including event setup, logistics, and patient flow management.

Provider & Clinic Support

  • Manage provider schedules, calendars, and clinic templates.
  • Coordinate scheduling changes and provider time off.
  • Support referral work queues and clinic operations.

Documentation & Systems Management

  • Manage Epic In Basket and MyChart communications.
  • Obtain medical records, imaging, and required clinical documentation.
  • Utilize Epic, Procedure Pass, and PowerShare to support surgical workflows.

Collaboration & Customer Service

  • Partner with providers, anesthesia, hospitals, surgical centers, and referring offices to coordinate care.
  • Facilitate communication across multidisciplinary teams and Duke Health entities.
  • Perform additional administrative and operational duties as assigned.

 

JOB ELIGIBILITY REQUIREMENTS

  • A high school diploma or equivalent is required. Associate's degree preferred.
  • Two years of experience in a clinical setting or in a coding/billing setting. An associate degree or higher may substitute for the experience requirement. Prior experience on Epic preferred.  

  • Ability to deal tactfully and courteously with internal and external customers.

  • Ability to follow through on details of a project through completion.

  • Ability to organize and set priorities.

  • Knowledge of medical terminology.

  • Knowledge of CPT and ICD coding preferred.

  • Experience with Epic and PowerShare systems preferred.

  • Knowledge of Prior Authorizations preferred.

 

JOB HOURS

The schedule for this position is day shifts, Monday-Friday, with no weekends or holidays.
