General Summary
Perform duties related to computerized order entry, distribution of all supplies, linen, and equipment, and the shipping and receiving of hospital merchandise. This role maintains excellent inventory management processes by meeting supply needs with prompt delivery, assuring the accuracy of orders, and ensuring the availability and good working order of all equipment.
Work Performed
Level 1
Staff are responsible for at least one of the following areas to ensure optimal inventory management. In accordance with established policies and procedures, Level 1 staff are required to:

Distribute and restock supplies and linen to end-users.

Use Supply Chain technologies (e.g., Pyxis and SAP) to document the movement of supplies.

Perform regular cycle counts to ensure the accuracy of stock levels.
-
Check expiration dates on supplies, documenting and discarding expired products as needed.
-
Accept and sign for deliveries from distributors.
-
Inspect shipments, enter Goods Receipts into SAP, and file packing slips.
-
Report any identified shipment discrepancies to on-site Supply Chain management.
-
Prepare and ship out vendor returns and rotate stock in all storage areas.
-
Move and stock supplies to appropriate shelving locations after the receiving process is complete.
-
Transport shipments from the loading dock to the stockroom and deliver packages to the correct purchasers.

Deliver non-supply items (e.g., medical gas, linen) in a timely manner.

Participate in and perform mid-year and year-end inventory counts.
-
Ensure all STAT orders are completed according to the specified service level agreement.

Demonstrate excellent customer service when interacting with end-users to address supply and linen questions.

Ensure all Supply Chain work areas and supply storage areas throughout the facility are clean and organized.

Proactively provide recommendations on operational efficiency improvements to Supply Chain management.
Level 2
In addition to the responsibilities of Level 1, the Level 2 associate is expected to perform the following duties for at least 50% of their time:

Act as a mentor and preceptor to all Level 1 Supply Chain Associates; serve as a back-up Team Lead if necessary.

Demonstrate excellent customer service when interacting with customers in all areas, including nursing floors and OR environments (physicians, surgical techs, nurses, etc.), to address supply-related questions.

Deliver, manage, and coordinate supplies and other products to off-site clinics or facilities as needed.
-
Manage inventory, assist in preparations, and perform the annual inventory count.
-
Oversee consignment inventory and related processes; may oversee inventory management of procedural areas.

Proactively collaborate with other Supply Chain stakeholders to adjust PAR levels and address slow-moving items based on usage data.

Troubleshoot supply shortage issues and articulate their known impact.
-
Effectively use the ERP system to run reports, find products, and use handheld technologies for delivery and PAR replenishment.

Serve as a Subject Matter Expert (SME) for the TIMS module, including receiving and documentation.

Pull and analyze reports from EPIC and Pyxis to provide appropriate data-driven recommendations.

Participate in PERT, OREDIT, and VAT discussions as assigned.

Manage vendor access and utilize Vendormate as assigned.

Work with customers to help reconcile invoices as needed.

Complete all assigned tasks with minimal supervision from the Team Lead and Manager.
General (Level 1 & 2)
All associates must have the general ability and willingness to perform additional job functions as necessary to ensure safe patient care practices. Associates are required to be cross-trained and perform other Supply Chain-related responsibilities as needed. Working at Duke University Health System requires the ability to work cooperatively and communicate well with others to achieve organizational and team goals, respond professionally to customers' needs, and work in a computerized environment.
Knowledge, Skills, and Abilities
Level 1

Must have the ability to exert 20 to 50 pounds of force occasionally, 10 to 25 pounds of force frequently, and up to 10 pounds of force constantly to move objects. This job requires the ability to push/pull supply carts, requiring up to 100 pounds of exertional force daily.

Duties require frequent reaching, lifting, stooping, and bending.

Minimum Qualifications
Education
-
High School Diploma/G.E.D. is required.
-
Some college-level coursework is preferred but not required.
Experience
-
Level 1: At least 1 year of work experience, including experience in one of the following areas: distribution, warehousing, shipping, receiving, logistics, material handling, customer service, or inventory control. Experience in a fast-paced, customer service environment is strongly preferred.

Level 2: At least 2 years of work experience in one of the following disciplines: distribution, warehousing, shipping, receiving, logistics, material handling, customer service, or inventory control.
Degrees, Licensures, Certifications

A valid Driver's License may be required.
