The Marcus Center for Cellular Cures (MC3) https://marcuscenter.duke.edu/ has an exciting growth opportunity for a motivated individual to fill an on-site Staff Assistant position in their GMP supply room. The position is located at 2400 Pratt Street, Durham, N.C.

Education/Training
Work requires a broad knowledge of clerical and accounting principles and practices normally acquired through two years of post-secondary education in administrative support or a related business field.
Experience
Work generally requires four years of related secretarial/clerical experience to acquire skills necessary to administer complex office functions related to office management, communications, and budgetary/accounting activities.

Position Description:
Receive supplies and complete the necessary forms per Good Manufacturing Practice (GMP) requirements. Coordinate handling of incoming shipments, verification of new supplies against purchase orders and packing slips; review documentation received against material specification form and resolve discrepancies. Coordinate inspection of incoming shipments with QSU, ensuring appropriate supplies remain in quarantine until released for use.
Continually assess supply rooms inventories. Notify supervisor or Financial Analyst to order supplies to ensure stock and appropriate supplies on hand for optimal execution of MC3 operation. Requisition of material and supplies for the MC3. Prepare electronic purchase requisition through Buy@Duke from qualified manufacturers and vendors for approval. Maintain interface with vendors to ensure the procurement of high-quality merchandise, expedient delivery, and dependable materials at optimum price. Follow the first in, first out (FIFO) system and perform monthly cycle count of inventory per Supply Management SOP. Organize storage rooms and label materials so that they are easy to identify and used by order of expiration – ensuring that no expired supplies are distributed. Continually assess and maintain an optimum layout of the supply rooms. Train new personnel on how to perform tasks.
Manage the production and distribution of forms to the collection sites. Monitor and generate copies when new forms are released. Maintain kits with the necessary supplies for different aspects of the operations of the MC3, including maternal sample kits, physician-collect kits, and remote shippers. Train new personnel in how to perform this task.
Provide input on trends or problems noted with purchasing and distributing supplies. Provide input for the development and continuous improvement of associated Standard Operating Procedures of the MC3. Communicate and coordinate with internal and external staff including lab managers, QSU, support staff, couriers, and outside vendors, as needed and for problem resolution. Discuss unusual requests or indications with the inventory supervisor and/or manager.

Anticipated Pay Range:
Duke University provides an annual base salary range for this position as USD $19.41/hour to USD $30.03/hour.
