Location: 

Duke University (Trent Hall) Durham, North Carolina

 

Work Hours:

This is a hybrid position, offering a flexible mix of remote and on-site work during standard business hours.

 

General Summary:

Proactively identify and negotiate contract opportunities to leverage the buying power of the University and Duke University Health System to lower the cost of procurement of goods and services. Ensure that contracts meet all federal regulations and customer needs.


 

Work Performed

  • Negotiate contracts with suppliers; evaluate bids and proposals and make award decisions; review and interpret vendor contracts for accuracy and completeness.

  • Manage contracts with suppliers to ensure supplier compliance; analyze supplier change requests to existing contracts and approve changes or revisions.

  • Participate on procurement sourcing teams for the research, bid, and contract management of supplies and services.

  • Participate in strategic planning to target future cost savings with the appropriate commodity.

  • Track markets to anticipate customer needs, changes to those needs, and the impact on existing contracts or the development of future contracts; monitor inflation and its impact on forecasting.

  • Evaluate supplier performance through a review of reports and customer feedback; resolve issues and implement solutions to address negative supplier performance.

  • Act as a liaison between the university and subcontractors to implement fulfillment of contracts.

  • Facilitate the resolution of disputes with suppliers to ensure optimal customer satisfaction.

  • Coordinate the integration of new suppliers into the procurement system.

  • Create and review reports showing the status of contract activity.

  • Ensure compliance with federal, state, and local laws.


 

Knowledge, Skills and Abilities

 

  • Strategic Sourcing & Negotiation:

    • Proven experience in strategic sourcing, particularly for capital and construction-related materials and services.

    • Extensive prior negotiation experience with a track record of achieving favorable terms and cost savings.

    • Strong ability to interpret and review complex contracts to ensure legal compliance and mitigate risk (including the ability to read, redline, and interpret complex legal language).

    • Expertise in preparing, issuing, and evaluating Requests for Proposal (RFPs).

 

  • Systems & Data Analysis:

    • Advanced proficiency with SAP, specifically for data searching, entry, and financial analysis.

    • Strong data digging and analytical skills to identify trends, analyze spending, and forecast market impacts.

    • Expertise in PC Word Processing, Spreadsheet (e.g., Microsoft Excel), and Database Management software for reporting and analysis.

 

  • Interpersonal & Communication Skills:

    • Exceptional interpersonal and communication skills for effective collaboration and conflict resolution.

    • Ability to confidently engage with key stakeholders, including hospital CFOs, service line leaders, and surgeons, to understand their needs and align procurement strategies with organizational goals
    • Strong customer service orientation to address customer needs and resolve supplier disputes effectively

 

  • Procurement & GPO Expertise:

    • Deep knowledge of the procurement process, including the full procure-to-pay lifecycle.

    • Experience working with a Group Purchasing Organization (GPO) to leverage buying power and secure favorable contracts.

 

  • Problem-Solving & Project Management:

    • Ability to manage multiple contracts and projects simultaneously, ensuring compliance and timely execution.

    • Strong problem-solving skills to manage supplier issues and faulty data, ensuring seamless operations.

Minimum Qualifications

 

Education

  • Work requires the completion of a Bachelor's degree in Business Administration, Accounting, or a business-related field.

Experience

  • Requires five years of progressively responsible contract administration/procurement-related experience.

  • An equivalent combination of relevant education and/or experience is acceptable.
