Occupational Summary

Plan, coordinate and administer activities within assigned program areas; develop, coordinate, and advise on policy related to assigned major programs.

 

This position will plan, coordinate and administer activities for two programs, the Duke PRIME PREP program and the PRIME Cancer program. This individual will collaborate closely with the Cancer Research Training and Education Coordination (CRTEC) team (including Program Manager, Assistant and Associate Directors) and the Program Directors (Drs. Gerard Blobe, Johnna Frierson, Robert Bastidas, and Jason Somarelli) to coordinate and administer both the programs. This position will report to the CRTEC team and the program directors of both the Duke PRIME PREP (Preparing Research scholars in biomedical sciences Postbaccalaureate Research Education Program) and PRIME Cancer Research Program grants.

 

Work Performed

Program Coordination: Strategy, Development, Implementation and Evaluation – 50% Effort

  • Make operational and programmatic decisions that have a significant impact on the successful achievement of program strategies and objectives for both the PRIME PREP and PRIME Cancer programs. Develop, coordinate and advise staff, including the Program Manager, Assistant and Associate Director and the program PIs regarding program policies and activities.

 

  • Monitor and evaluate program effectiveness using qualitative and quantitative research techniques; investigate trends, and recommend and implement modifications to improve program effectiveness. Assist with data analysis and writing reports/manuscripts related to the programs.

 

  • Plan, coordinate and administer activities of assigned programs to include developing and implementing procedures, processes, services and systems. Example tasks include program recruiting and onboarding, coordinating selection of scholars, as well as coordinating social events and professional development activities for both programs.

 

  • Budget for, and coordinate, events and other related programs; develop and coordinate new ideas and concepts for program themes, materials and resources to supplement, expand or replace existing program components.

 

  • Coordinate recruiting activities to include conceptualizing and writing promotional materials, ads and fliers.

 

  • Act as a liaison with other programs, offices and departments at Duke to coordinate program business and to accomplish program objectives. This individual will liaise with HR, Campus Housing, Parking, Conferences and Events Services, the IDEALS Office, the Undergraduate Research Support Office, and similar offices at Duke.

 

  • Interface with external organizations, including peer institutions, as appropriate to ensure cooperative efforts are enhanced and available resources are utilized.

 

Financial Management – 10% Effort

Prepare budgets and grants; monitor, verify and reconcile expenditure of budgeted funds as appropriate.

 

Staff Supervision – 15% Effort

Provide staff leadership. This individual will supervise the 12-15 PRIME Cancer Scholars (undergraduate students) as well as the 4-8 PRIME PREP postbaccalaureate scholars yearly. They will complete performance evaluations, approve time off, mediate any concerns with mentors as needed, and other related tasks.

 

Communication – 25% Effort

Develop and implement communication plans for internal and external stakeholders.

Communicate regularly with scholars and other program personal both formally and informally via various communication methods.

Perform other related duties incidental to the work described herein.

 

 

Qualifications Required At This Level

Education/Training

Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program.

 

Experience

Work requires three years of experience in program administration or involving academic, instructional or counseling activities to acquire skills necessary to plan, coordinate and implement a variety of program activities and events OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE. The preferred candidate will have experience in program coordination, program management, and/or experience working in academia, particularly working with faculty and/or students

 

Knowledge and Skills

  • Ability to provide guidance and direction to subordinates, including setting standards and monitoring performance.

  • Skills using logic and reasoning to identify the strengths and weaknesses of alternative solutions to problems.

  • Skills evaluating program performance, summarizing findings, communicating results, and forming an action plan.

  • Knowledge of business and management principles involved in strategic planning, resource allocation, human resources modeling, leadership technique, and coordination of people and resources.

  • Strong project management, administrative, organizational, planning, and prioritization skills

  • Ability to exercise sound judgment when making decisions

  • Experience with, or a willingness to learn, Qualtrics and REDCap

  • Extensive proficiency and experience with MS Word/Excel/PowerPoint preferred

 

Preferred Skills

The Senior Program Coordinator must possess the skills to foster a positive working relationship with colleagues within the DCI, across units and offices at Duke, and peer offices and contacts outside of Duke. The incumbent will maintain confidential files and must provide exemplary support to DCI associates. Applicant must have the ability to work well on a team and interact well with others.
