STAFF SPECIALIST

Physician Assistant Program

Department of Community and Family Medicine

Duke University Medical Center

 

Responsible To:  Division Chief / Program Director, Director of Preclinical Education, Director of Clinical Medicine, Administrative Manager and Senior Program Coordinator.

 

Summary: The incumbent will work independently while providing administrative support with the day-to-day operations of the preclinical education for the Physician Assistant students.

 

Work Performed:

  • Responsible for curriculum support for assigned courses taught during preclinical year.  This includes but is not limited to:
  • creating and managing all LMS and media resources, assessments, and tools for each course,
  • scheduling, managing, and greeting lecturers and group facilitators, processing payments of lecturers and facilitators,
  • setting up spaces and materials as needed for educational sessions in the classroom, breakout rooms, and labs,
  • set up and scheduling of students for lab and/or small group activities,
  • purchasing and inventorying instructional materials, such as textbooks, lab supplies and office supplies.
  • Responsible for taking meeting minutes for: preclinical team meetings, and student/faculty meetings.
  • Responsible for proctoring preclinical year exams and support of testing-related student accommodations.
  • Act as the Stead Society staff support.
  • Responsible for recording first year class volunteer hours.
  • Responsible for PA Program committee service as needed.
  • Responsible for event planning and coordination as assigned. This includes arranging catering orders, space set up and breakdown.
  • Responsible for covering the front door and phone as needed.
  • Responsible for participating in special projects as assigned. 
  • Other duties as assigned

 

Supervision Received:

The principle supervisor of this position is the Senior Program Coordinator of the Physician Assistant Program.  This positon maintains a close working relationship with the PA Division Chief / Program Director, Director of Preclinical Education, Director of Clinical Medicine, Administrative Manager, PA faculty and staff. 

 

Qualifications:

This position requires two to three years of experience working independently in an office or educational setting, or an appropriate combination of work experience and education.

  • Excellent written and oral communication skills
  • Detail-oriented with excellent administrative and organizational skills
  • Capable of making decisions and exercising good judgment. Ability to work independently and collaboratively
  • Solves problems pro-actively, contributing to team-oriented solutions
  • Ability to meet deadlines and prioritize multiple simultaneous activities
  • Must perform diligently and efficiently with little supervision.
  • Handle confidential information with discretion.
  • Ability to be flexible when work assignments change on short notice
  • Enjoys and can effectively multitask
  • Must be proficient with Microsoft Outlook, Word, Excel, PowerPoint and able to learn new programs quickly
  • Experience with additional technologies including: Canvas, Qualtrics, Panopto, Examplify, MS Teams, and SharePoint preferred.

 

Minimum Qualifications

 

Education

 

Work requires knowledge of basic mathematical, research and communications principles normally acquired through two years of postsecondary education.

 

Experience

 

Work generally requires four years of clerical or research experience OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE to acquire strong skills in administrative or project research responsibilities as well as accepted office management, communications and research practices. A bachelor's degree in a field of study directly related to the specific position may be substituted for the education and two years of the experience requirement.
