STAFF ASSISTANT
 

Responsibilities

  • Provide general administrative support for the Physics division
  • Assist with division initiatives, programs, and special projects/events
  • Schedule and coordinate appointments, meetings, interviews, and events 
  • Coordinate and process changes in the QGenda clinical scheduling system
  • Assist with division recruitment, onboarding, and offboarding processes
  • Schedule monthly physics division meeting, assist with agenda preparation and meeting minutes
  • Monitor/order office supplies 
  • Manage division mail distribution and coordinate shipping as needed
  • Organize and maintain division files/records and prepare/generate reports 
  • Assist with physics residency program recruitment process
  • Manage and process expense reimbursements
  • Submit maintenance work orders as needed
  • Perform other duties as assigned


Education/Training

  • Broad knowledge of administrative principles/practices and communications normally acquired through two years of post-secondary education or training in a related field


Experience/Skills

  • Minimum of four years of administrative experience 
  • Experience with clinical scheduling systems is a plus, QGenda preferred 
  • Strong organizational and problem-solving skills
  • Team oriented with outstanding communication and interpersonal skills
  • Detail-oriented with process improvement focus 
  • Technology oriented with strong computer skills in MS Office Suite (Word, Excel, PowerPoint)
     

 

Minimum Qualifications

 

 

Education

Work requires a broad knowledge of clerical and accounting principles and practices normally acquired through two years of post-secondary education in secretarial science or a related business field.

 

Experience

 

Work generally requires four years of related secretarial/clerical OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE experience to acquire skills necessary to administer complex office functions related to office management, communications, and budgetary/accounting activities.
