OccupationalSummary:
Assist the Special Events Team to help develop, organize and manage a wide variety of special events and rentals at the Nasher Museum of Art at Duke University.
WorkPerformed:
This part-time position works alongside the full-time Special Events Coordinator tohelp manage and implement special events for the museum. Both positions report to the Manager of Special Events.
Assist with coordination and oversight of receptions for exhibition openings, lecture series and other public relations events. Assist in event plans for events including, but not limited to, local and national board meetings, director’s previews, artist and lenders dinners, alumni receptions and annual benefit gala.
Help to manage facility rental sales and operations including correspondence with client, vendor, and security liaison; pricing and billing; staffing for on-site support.
Assist in facilitating academic uses of the museum, working with the Academic Initiatives Department to accommodate Duke classes that meet regularly in the building and gallery tours and/or study-storage visits by Duke faculty and students.
Track expenses and revenue to meet annual budget targets.
Key responsibilities include:
· Assist Special Events Team in maintaining master calendar for all special events, rentals, university classes held in the museum auditorium and the classrooms.
· Assist in managing and billing for select rental contracts.
· Assist inthe supervision of part-time student workers.
Perform other related duties incidental to the work described herein.

HOURS REQUIEMENTS:
This position requires some night and weekend hours.
PHYSICAL REQUIREMENTS:
Must be able to stand for long periods of time

Minimum Qualifications
Education
Work requires a broad knowledge of clerical and accounting principles and practices normally acquired through two years of post-secondary education in secretarial science or a related business field.
Experience
Work generally requires three years of related secretarial/clerical experience to acquire skills necessary to administer complex office functions related to office management, communications, and budgetary/accounting activities. OR and equivalent combination of education and relevant experience.
