Occupational Summary

Reporting to the Executive Director of Environmental Services, the Asst. Supervisor is responsible for overseeing the cleanliness of various facilities throughout Duke University by conducting quality audits, ensuring employees have adequate equipment and supplies to perform daily task, monitor employees work performance and when required work with Sr. Supervisor to issue disciplinary actions. The Asst. Supervisor will provide support to the Operations manager and Sr. Supervisor. Work with our customers to address any cleanliness concerns and work with our department to meet goals set by our Director.  

 

Work Performed

  • Ensure all buildings of responsibility maintain a level of acceptable cleanliness and meet or exceed APPA standard level set by UEVS department by performing required number of monthly quality audits. 
  • Assist Operations Manager or Sr. Supervisor with assigning housekeeping personnel responsibilities which may include but not limited to; cleaning of various different space types, assigning project work, and assigning additional task due to employee vacancies or absenteeism.
  • Provide staff with adequate supplies and equipment to perform daily task.   
  • In the event the Sr. Supervisor is absent the Asst. Supervisor may be required to assist with API which includes; meeting payroll deadline, correcting any critical in the system, in-putting adjustments to employee’s time due to miss swipes or absenteeism.
  • Assist Sr. Supervisor with managing housekeeping personnel attendance calendars which include; having housekeeping personnel sign monthly calendar.  
  • Manage housekeeping personnel work performance and in the event an employee is not meeting UEVS department’s cleaning standards work with Operations Manager or Sr. Supervisor to impose appropriate disciplinary action (DA). Asst. Supervisor may be required to go through the grievance process due to the issuing of a DA. 
  • Manage all vendor management inventory (VMI) to reduce or eliminate the over consumption of supplies.
  • Manage microfiber process by providing staff with enough microfiber to perform daily task, ensuring microfiber is being used correctly, and make certain personnel return all microfiber at the end of each shift to the correct bin.
  • Work closely with the support team to manage all equipment to prevent premature failure; which may include but not limited to; providing personnel with the adequate training, performing weekly/monthly maintenance, notifying the support team concerning the repairment of equipment due to malfunction, and notifying the support team to remove unsafe equipment from the work environment.
  • Enter work request in EAM to address maintenance concerns.
  • Attend all designated leadership meetings or trainings established by UEVS department’s communication matrix.
  • Conduct start shift and end shift meeting with all housekeeping personnel.
  • Address customer complaints.
  • Manage keys located inside the electronic key box in Asst. Supervisor’s designated area of responsibility which may include but not limited to; ensuring all keys are returned to the key box at the end of each shift, respond to key box alerts, adding/removal of keys from key set, and conduct investigation in the event of lost keys.
  • Asst. Supervisor may be required to operate Duke transportation in order to transport housekeeping personnel to their designated work building(s).
  • Ensure all housekeeping personnel complete monthly safety trainings to maintain an acceptable safety training compliance score.
  • Work with the safety Director and EOHW to report all work-related injuries sustained by housekeeping personnel. 
  • Perform all Asst. Supervisor administrative task related to position within timeframe established by UEVS department.
  • Maintain professionalism at all times regarding communication and personal interaction with UVES leadership, Duke administrative staff, students, and housekeeping personnel.
  • In the event of a leadership vacancy or absenteeism the Asst. Supervisor may be required to assist in another area until the vacancy is filled or the leadership team member returns back to work.
  • UEVS leadership is considered essential staff and in the event of inclement weather all leadership may be required to remain on campus and service various facilities until the severe weather policy is no longer in effect.  
  • Asst. Supervisor may be required to do overtime to support on-campus events.
  • Assist Sr. Supervisor with managing overtime conducted by housekeeping personnel which may include but not limited to; posting overtime to cover on-campus events, drafting of housekeeping personnel, and tracking all overtime for billing purposes.

Minimum Qualifications/Education Requirements

  • Two years of professional progressive experience in facilities management housekeeping and custodial operations or two years as a lead worker or acting as a supervisor. Registered Executive Housekeeper (REH) or Certified Executive Housekeeper (CEH) certification is preferred.  Work requires the ability to provide instructions and maintain records generally acquired through a high school education.
  • Ability to manage, lead, supervise and motivate, housekeepers, floor technicians including assisting with training, delegation, monitoring employee work performance, and the ability to have cleaning task consistently accomplished. Ability to work with various customer bases.
  • Demonstrated technical skill and knowledge of housekeeping equipment, cleaning techniques, floorcare, preventative maintenance, and quality assurance programs.
  • Must have a valid driver’s license.  

Skills

 

Demonstrated knowledge of cleaning techniques and basic floorcare, proficiency in the use of Microsoft Office software and Windows Explorer, ability to effectively communicate work task and work inside a team environment, ability to consistently meet deadlines set by UEVS department, ability to consistently have cleaning processes accomplished, and basic knowledge on how to use building auditing tools.

Education

Work requires the ability to provide instructions and maintain records generally acquired through a partialhigh school education.

 

Experience

 

Work requires four years of cleaning or related experience necessary OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE to obtain knowledge of scope of housekeeping unit operations, or four years of supervisory experience to become familiar with accepted supervisory and personnel practices and standards.
