Job Title: Research Administrator (Award Specialist, International)

Occupational Summary
The Award Specialist, International supports the International Research Administration Support Resource (IRASR). and acts as a resource to the university community for assistance and information on award processing requirements to ensure as quick and smooth award setup as possible. As a member of the Grants & Contracts team this position will be cross-trained to provide broad support in a variety of roles. Though the position will primarily support international research projects, it is anticipated that there will also be a domestic portfolio which will be assigned by the ORS Supervisor.
The portfolio of projects supervised in this role will originate from faculty in the Campus schools and institutes as well as faculty from the School of Medicine and School of Nursing, which require a deep understanding of the policies and procedures of both the Office of Research Administration (ORA) and the Office of Research Support (ORS).
Responsibilities include working with ORA and ORS to develop and maintain practices and procedures that can be put in place at the time of award and monitored throughout the life of a sponsored project.
Work Performed: Awards 50%
Initiates the award process when assigned (whether international or domestic) and completes the task efficiently and accurately.
Coordinates with ORA and ORS and the departments to obtain any additional documents related to the award are needed to complete the award and reviews the documentation for accuracy.
Processes the award documents in the Sponsored Projects System and then files the documents in accordance with the office practices of ORA and ORS.
Determines the best fund code structure for projects involving multiple internal and/or external organizations; prepares the transmittal form for Treasury Billing Services (TBS); and acts as liaison with TBS regarding all award setup issues.
Reads and analyzes award documents and works with ORA and ORS staff to ensure that the award communications are prepared and sent to PIs and Grant Managers in a timely manner providing them with information about unusual or complex sponsor terms and conditions associated with the award.
Manages other award related duties as required such as issuing subcontracts, processing changes and other modifications, requesting new financial accounts, etc.
Work Performed: Subcontracts: 50%
If subrecipients are part of an award, checks the subrecipient documentation and follows up with the PI and the department to obtain any missing documents whether the subrecipient is internal or domestic.
Drafts subcontract packet including all attachments for review by the appropriate personnel and sends the packet out to the subrecipient. ORA and ORS currently use different systems and different processes for issuing subcontracts.
Monitors subrecipients in accordance with office guidelines and recommends contract modifications if warranted by a subrecipient’s performance.
REQUIRED SKILLS As the federal government’s focus on compliance changes, this individual must be flexible, motivated and ready to learn the new regulations and implement compliant practices and procedures.
Other requirements are:
ability to think critically and problem solve in a highly collaborative environment. excellent written and verbal communication skills;
ability to interpret federal and international regulations relevant to sponsored research; ability to organize and structure complex subject matter;
advanced computer skills in programs of relevance to duties.
MINIMUM EDUCATION AND BACKGROUND REQUIREMENTS Include BA/BS degree
and three years of work in research administration related field; RACC certification or must obtain Certificate of Research Administration within one year after employment. Must be notary public or obtain a notary public license when asked to do so. Must be able to show experience working in the international research arena or demonstrate a strong interest in doing so.
Anticipated Pay Range:
Duke University provides an annual base salary range for this position as USD $58,656.00 to USD $95,000.00.
