Summary: The Senior Program Coordinator will support the implementation of the North Carolina - Psychiatry Access Line (NC-PAL) programs by planning, coordinating, and administering program activities. The Senior Program Coordinator will work under the guidance of the NC-PAL Administrative Lead(s) and Directors to align with the overall vision and goals for the program and collaborate with Program Coordinator team members to ensure consistency in program implementation.
Duties and Responsibilities Duties will vary based on area of expertise but will include the following:
Program Administration and Communications (35%)
- Support the development and utilization of program management tools.
- Coordinate staff, committee, department, and other administrative meetings.
- Budget for and coordinate public events and related programs, including statewide stakeholder meetings and local, state, and national opportunities to promote program awareness, sustainability, and expansion.
- Develop and draft materials to communicate program goals and achievements to stakeholders and funders.
- Maintain liaison with programs, offices, and departments at Duke to coordinate program activities.
- Coordinate public relations activities (e.g., newsletters, website design, promotional materials, presentations, publications, press releases, ads, and flyers).
- Develop plans and schedules for the release of publicity materials.
- Prepare financial and budgetary documentation (e.g., timecards, procurement, charges).
- Draft written reports for funders.
Program Development (30%)
- Develop and coordinate new ideas and concepts for program themes, materials, and resources to supplement, expand, or replace existing program components.
- Provide program coordination leadership for specified activities to achieve program goals (e.g., Family Partner intervention).
- Develop and implement procedures, processes, services, and systems.
- Train team members in proper methods and procedures and ensure the correctness of work.
- Disseminate and encourage staff education opportunities.
- Work with NC-PAL Administrative Leads and Directors to discuss and implement the distribution of work among team members and workstreams.
Program Monitoring and Evaluation (30%)
- Pull and clean routine data collected from NC-PAL programs.
- Coordinate with the Administrative Lead(s), Directors, and Data & Reporting Team to monitor and evaluate program effectiveness using qualitative and quantitative research techniques.
- Investigate trends, recommend, and implement modifications to improve program effectiveness and reach.
- Prepare data summaries.
- Prepare and present program data for dissemination via academic papers, posters, and conferences; participate in data analysis and writing.
Professional Development (5%)
- Participate in continuous quality improvement efforts and other professional development efforts identified in conjunction with supervisor(s).
Perform other related duties incidental to the work described herein.
Required Qualifications
Education/Training
- A bachelor's degree is required, demonstrating analytical, communication, and organizational skills.
Experience
- Three years of experience in program administration or involving academic, instructional, or counseling activities to acquire the skills necessary to plan, coordinate, and implement a variety of program activities and events.
- OR an equivalent combination of relevant education and/or experience.
Skills
- Ability to provide guidance and direction to subordinates, including setting standards and monitoring performance.
- Skills in using logic and reasoning to identify the strengths and weaknesses of alternative solutions to problems.
- Skills in evaluating program performance, summarizing findings, communicating results, and forming an action plan.
- Knowledge of business and management principles involved in strategic planning, resource allocation, human resources modeling, leadership techniques, and coordination of people and resources.
