JOB SUMMARY

We are seeking a Provider Support Assistant to perform responsible administrative and secretarial duties of a complex and confidential nature in support of major departmental or divisional activities to relieve supervisor of varied clerical and administrative responsibilities and to maintain efficiency in organizational operations.

 

JOB DUTIES AND RESPONSIBILITIES

Administrative Duties:

  • General administrative support for division chief and faculty to include, but not limited to: administrative calendar, travel arrangements, and reimbursements, assist with coordination of faculty recruitment, and maintenance of CV.
  • Responsible for coordination and monitoring of all Duke@Work procurement card reconciliation.
  • Processing of all reimbursements and check requests, completion of work order requests, interdepartmental requisitions, purchase requisitions, and supply ordering.

Clinical Duties:

  • Working with QGenda manage the on call and clinic schedule. 
  • Make appointments or proper referrals according to instructions and procedures; schedule clinic appointments and lab appointments in Epic in coordination with clinic staff and appointment hub; coordinate scheduling referral appointments; obtain authorizations for procedures when applicable; send information packets to new patients; reschedule patients when appropriate; complete online bump request when necessary.
  • Work within Epic electronic health record system to send and receive messages through In-Basket.
  • Maintain work phone line including retrieval of voicemails same day, record information and route accordingly, and address patient concerns when needed. Sort and distribute faxes accurately and timely.
  • Perform other related duties incidental to the work described herein.

 

JOB ELIGIBILITY REQUIREMENTS

  • High school diploma or equivalent education required.
  • One-year experience of clerical or general office support required.

 

JOB HOURS

The schedule for this position is day shifts, Monday-Friday, with no weekends or holidays.
