As the Transfer Program Coordinator, you’ll be a vital part of a collaborative, interdisciplinary team that supports students from diverse backgrounds as they navigate their academic journey into Duke.
You’ll work closely with the Dean of Transfer Students and campus partners to ensure a seamless and enriching experience for incoming and current transfer students. Your role will help shape the future of Duke’s transfer community through thoughtful communication, data management, and student-centered programming.

What You’ll Do:
Transfer Program Operations
- Build and maintain a comprehensive database of all courses transferred to Duke by transfer students, including those originating from Duke.
- Prepare individualized Preliminary Transfer Evaluation spreadsheets for each admitted transfer student.
- Coordinate recruitment and application materials in collaboration with Admissions, Student Affairs, Housing, Trinity Quad Deans, NSFP, and others.
- Serve as liaison with the Registrar’s Office, Directors of Undergraduate Studies (DUS), and departmental staff to manage academic data and documents.
- Manage communications for the Dean of Transfer Students, including monitoring and responding to shared email accounts.
- Develop and maintain an alumni database of Trinity transfer students.
- Co-design and implement the Junior Transfer Academy to foster intellectual and social engagement for incoming junior transfers.
- Support transfer students in declaring majors before their first semester begins.
- Collaborate with departments to ensure timely and accurate evaluation of transfer credits.
- Recommend and implement process improvements for transfer evaluations, including automation initiatives.
- Respond to inquiries from Duke-originating students regarding transfer credit policies and triage advising needs.
- Supervise work-study students and review completed work for accuracy.
- Lead special projects and perform related duties as assigned.
Events & Communications
- Create and maintain a user-friendly web presence for transfer-related policies and guidance.
- Plan and execute two annual community-building events and the Transfer Student Support Network gathering.
- Coordinate with faculty advisors, DUSs in Program I majors, Athletics, and Quad Advising during each intake cycle.
- Design marketing materials and recruit current transfer students to participate in information sessions.
Financial & Administrative Support
- Process financial transactions including reimbursements, JV entries, and procurement card purchases.
- Prepare expense reports and maintain a detailed budget for the Office of Trinity Transfer Students.
- Assist with assessment reporting and monitor expenditures to ensure fiscal accuracy.
Anticipated Pay Rate
Duke University provides an annual base salary range for this position as USD $44,766.00 to USD $71,706.00. What You’ll Bring:
- Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program
- Work requires three years of experience in program administration or involving academic, instructional, or counseling activities to acquire skills necessary to plan, coordinate, communicate and implement a variety of program activities and events.
- Strong leadership, organizational, and communication skills.
- Familiarity with website editing tools (Drupal preferred), Microsoft Office Suite, Qualtrics, Excel, Box, Kauli, and Duke Hub.
