JOB SUMMARY
We are seeking a meticulous and knowledgeable Physician & APP Leave Specialist to join our Service Center team. This specialist will oversee all aspects of leave management specifically for ambulatory physicians and advanced practice providers. This includes handling FMLA, disability, personal leave, and other time-off policies tailored to this unique group of professionals. The ideal candidate will possess a deep understanding of medical leave laws, excellent communication skills, and the ability to navigate complex leave structures.
 
JOB DUTIES AND RESPONSIBILITIES

Leaves Management:

  • Serves as the subject matter expert for the leave programs in alignment and under the general direction and guidance of DHIP Service Center Program Manager, HR Leadership and the legal department.
  • Interprets and administers leave programs and policies in accordance with the applicable federal and state employment laws (FMLA, ADA, USERRA, Pregnancy Discrimination Act, etc.).
  • Administers all aspects of leave and workers’ compensation programs. Provides extensive case management and coordinates administrative aspects of the cases and claims.
  • Manage all aspects of leave programs for physicians and advanced practice providers, ensuring compliance with FMLA, ADA, and other relevant regulations.
  • Act as the primary point of contact for physicians and advanced practice providers regarding leave requests, providing guidance and support throughout the process.
  • Conduct thorough reviews of leave requests, including medical documentation, to determine eligibility and appropriate accommodations.
  • Partners closely with Program Manager on all related cases/claims. Meets regularly to review the status of cases/claims and develops legally sound strategies for a mutually beneficial resolution.
  • Provide guidance and support to stakeholders on leave and benefits-related matters specific to physicians and advanced practice providers. 

Administrative Coordination: 

  • Coordinate with administrators, medical directors, and other stakeholders across Duke Health to facilitate smooth leave management and transitions.
  • Maintain accurate and up-to-date leave records for physicians and advanced practice providers, adhering to legal and regulatory requirements.
  • Develop and implement procedures and communications specific to leave management and benefits administration for this professional group.
  • Stay informed about changes in medical leave laws, regulations, and industry trends, recommending updates to policies and procedures as needed.
  • Assist with group presentations explaining the details of specified leave programs for new hire orientations and other educational initiatives, e.g., DHIP SharePoint.
  • Seek continuously to develop and improve levels of knowledge and expertise, coordinating with the Program Manager as required.

JOB ELIGIBILITY REQUIREMENTS
  • Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program with one year of experience in program administration or event production.
  • OR Two years of postsecondary education with three years of experience in program administration or event production.
  • OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE

Preferred Qualifications:

  • 3+ years of experience in leave management, benefits administration, or HR roles within the healthcare industry.
  • In-depth knowledge of medical leave laws and regulations, including FMLA, ADA, and other relevant statutes.
  • Excellent communication skills, with the ability to effectively interact with physicians, advanced practice providers, and other healthcare professionals.
  • Ability to synthesize information, provide guidance and address needs independently.
  • Strong organizational skills and attention to detail, with the ability to manage multiple priorities in a fast-paced environment.
  • Proficiency in HRIS and leave management systems/software.
  • Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
  • Understanding of physician and advanced practice provider compensation structures and faculty leave guidelines.
  • SHRM-CP, PHR, or other relevant HR certifications a plus, but not required.
 
JOB HOURS
The schedule for this position is day shifts, Monday-Friday, with no weekends or holidays.
