Occupational Summary

The Senior Program Coordinator is responsible for the planning, development, coordination, and execution of special projects and special events within the Office for Institutional Equity. Specifically, this position will be responsible for coordinating the aspects of the Diversity, Equity, and Inclusion (DEI) team that support the work of the President’s Racial Equity Advisory Council. The duties of this position involve the planning and implementation of events related to racial equity and anti-racism work, the overall coordination of projects, meetings, and communications between council and subcommittees, and between the Racial Equity Advisory Council and the Duke Community. This role is also responsible for, in consultation with the REAC Co-Chairs, AVP for DEI and VP for OIE, development, management, and delivery of educational content, deliverables, and other special projects as assigned. This position will coordinate the development of anti-racism education modules and institutional tracking mechanisms from the Education Subcommittee, support data-gathering, organizing, and resource development for the Campus Climate and Assessment Committee, and manage the development and rollout of the Duke Annual Report on Racial Equity (DARRE) and other projects for the Infrastructure and Policy Subcommittee, liaise with University Communications to lead the creation of a strategic plan and other materials for the Communication Subcommittee. This position will be connected to the regular activities of the Racial Equity Advisory Council and will provide project and program coordination for the Council at large and specified coordination across committees. This position will require the ability to develop, coordinate, and advise on practices related to specific activities of the Racial Equity Advisory Council and to apply this knowledge to resolve complex non-routine administrative problems independently and with others.

 

Program and Administrative Support (30%)

  • Make operational and programmatic decisions that have a significant impact on the successful achievement of program strategies and objectives; develop, coordinate and advise OIE staff, REAC Co-Chairs and members, and other strategic partners regarding program development and implementation. 
  • Manage all correspondence with the Racial Equity Advisory Council, its subcommittees, and others who are collaborating with the work of the Council. 
  • Provide information concerning activities, policies and procedures of the Council programs and activities to the VP and AVP for DEI in OIE and other Council leadership. 
  • Manage and work closely with relevant staff and faculty from subcommittees across the Council and with the DEI team within OIE in the facilitation of programs and activities of the Council.  
  • Coordinate all planning and implementation activities related to the organization of workshops, special events and programs on and off campus with an eye toward synergy between antiracism work across the enterprise. 
  • Coordinate scheduling, agendas, and all other logistical aspects of all REAC Co-Chair, Subcommittee, and working group meetings.
  • Develop slideshows, handouts, and other communications materials for all REAC-related meetings as determined necessary by the Co-Chairs.
  • Coordinate and participate in meetings with stakeholders of racial equity work to determine objectives of the program and/or initiative and to identify internal and external resources available to meet those objectives.
  • Serve as a OIE’s liaison with different Duke Schools, Centers, Institutes and other offices interested in cosponsoring and supporting anti-racism work throughout the enterprise. 
  • Maintain liaison with other programs, offices and departments at Duke to coordinate program business and to accomplish program objectives; interface with external organizations as appropriate to ensure cooperative efforts are enhanced and available resources are utilized. 
  • Exercise judgment in handling sensitive information of a confidential nature.
  • Manage all processes related to maintaining, revising, and renewing the membership of all REAC subgroups including the onboarding of new members and, in collaboration with the VP for OIE and President’s Office, the collection and review of student member applications.

 

Project Management (60%)

  • Research, develop and implement a comprehensive evaluation plan for continuous quality improvement of Council efforts.
  • Monitor and evaluate racial equity program effectiveness using qualitative and quantitative research techniques; investigate trends, and recommend and implement modifications to improve program effectiveness. 
  • Lead the development of Qualtrics registration for all activities of the Racial Equity Advisory Council.
  • Lead, develop and research potential speakers, venues and vendors for workshops and special programs and events initiated by the Racial Equity Advisory Council and DEI efforts across campus. 
  • Serve as the point person for relevant special events hosted by both the Office of Institutional Equity and the Racial Equity Advisory Council specifically, including organizing and leading events related meetings for faculty and staff, working as the liaison or representative for all contractual relationships, and interfacing with the Assistant Vice President for Diversity, Equity and Inclusion. 
  • Plan, coordinate and administer activities of assigned programs to include developing and implementing procedures, processes, services and systems. 
  • Develop plans and schedules for release of publicity materials in collaboration with the Communication Specialist, University Communications, and the Communications Subcommittee of the Racial Equity Council.
  • Coordinate, develop, and implement, in collaboration with OIE, Institutional Research, OIT, and specified REAC members, the Duke Annual Report on Racial Equity (DARRE); Specifically, this role will create and manage a survey, User Guide, and other supplemental handouts for the DARRE Tool as well as manage review processes and all applicable meetings of the DARRE working groups. 
  • Support the work of the Education and Campus Climate and Assessment Subcommittees to develop resources for units completing the DARRE including a training module, Implementation Toolkit, and list of other references specific to needs identified in the DARRE.
  • For the Education Subcommittee, manage the development of a catalog for educational opportunities at Duke related to race, racism, and racial equity; specifically, this role is tasked with co-creating, alongside the AVP for DEI, a tool for collecting information on educational opportunities and coordinating all working group meetings related to the development of these resources.
  • Manage the development and implementation of an ongoing REAC communications strategy in collaboration with University Communications; manage all updates to the racialequity.duke.edu webpages and support the coordination and review all communications materials before dissemination.
  • Coordinate communications strategies for events/public relations activities with the Office for Institutional Equity’s Communications Specialist to meet internal branding and marketing objectives.
  • Supervise, as applicable, all work of the REAC student interns and liaise with Council leadership and the OIE HR Representative to ensure adherence to all human resource processes.
  • Support the development of a REAC strategic plan in alignment with the needs and goals of the Council, Subcommittees, and Institution as defined by the Co-Chairs and Executive Leadership.
  • Develop and track the implementation of logistical budget allocations dedicated to REAC activities.

 

Special Projects (10%)

  • Co-lead, alongside the Office for Faculty Advancement and other campus partners, the logistical components of the annual Moving Your Unit Forward Climate Survey Retreat for academic and administrative leaders.
  • For the calendar year 2024, co-lead along with the OIE Events Coordinator and under the guidance of the VP for OIE, key efforts relayed to Duke Centennial Celebration; specifically, this role is tasked with leading the planning and implementation of an inaugural symposium focused on scholarship and practice that supports efforts to advance equity at Duke and beyond.
  • As assigned by the AVP for DEI, support, develop, and facilitate educational engagements and other opportunities to facilitate DEI-centered learning for the Duke Community.
  • Develop and coordinate new ideas and concepts for program themes, materials and resources to supplement, expand or replace existing program components. 
  • Manage the facilitation of the Racial Equity Advisory Council and OIE DEI special programs to include preparation of meeting agendas, briefing materials, action items and meeting notes. 
  • Perform other related duties incidental to the work described herein. 

Skills

Minimum Qualifications 

Education: Work requires analytical, communications and organizational skills generally acquired through completion of a master's degree program. 

 

Experience: Work requires three years of experience in program administration or involving academic, instructional or counseling activities to acquire skills necessary to plan, coordinate and implement a variety of program activities and events. OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE
