General Description of the Job Class

Plan, coordinate and administer activities for the Duke Cancer Institute’s (DCI) disease-based programs.  Hybrid work schedule available.

 

Duties and Responsibilities of this Level

 

Project Coordination / Reporting and Analytics (50%)

 

  • Monitors and evaluates disease-based program key performance indicators for effectiveness, investigates trends. Provides independent analysis and recommendations to Administrative Directors, Program Directors and operational leaders across DCI.
  • Leads strategies to improve program effectiveness including leading template optimization imitative efforts DCI-wide, overseeing referral network engagement and tracking efforts.
  • Prepares reports and analyses setting forth progress, adverse trends and appropriate recommendations or conclusions for disease-based programs. Identifies opportunities where gaps in reporting exists, leads build efforts for new analytical tools in conjunction with DCI clinical analytics teams, DHAS, PRMO and Finance teams across DUHS.
  • Compiles standard data reports on a monthly, quarterly, and annual basis for each disease-based program. Leads report outs and action items to address adverse trends based on stakeholder feedback
  • Fills ad hoc data requests using existing tools and dashboards on an as needed basis
  • Supports reporting and data needs for business justifications and strategic planning efforts, including strategic analysis for annual programmatic growth plans, space expansion and provider recruitment. Support compiling SBAR requests for business plans and for new provider justifications.

 

Administrative Coordination (50%)

 

  • Plan, coordinate and administer activities of assigned disease-based programs to include developing, implementing, and supervising related procedures, processes, services and systems.
  • Supervise programmatic assistant staff performance across DCI including recommending various personnel actions including, but not limited to, hiring, performance appraisal, promotions, transfers and vacation schedules.
  • Develop, plan, coordinate and implement activities including, but not limited to, seminars, conferences, workshops, short courses, clubs, shows, public events and other related programs, including Strike Out Sarcoma 5K Run/Walk, Crush 5K Run Walk, LCI Lunge Run, Melanoma Annual Consortium, GU Patient Education Symposium & Tackle Tailgate, and Light the Night events, to name a few.
  • Coordinate and/or participate in public relations activities to include preparing and supervising the production of brochures, bulletins, newsletters and other promotional materials and/or publications, preparing press releases, designing ads and fliers, and responding to inquiries; develop plans and schedules for release of publicity materials for the disease-based programs
  • Represent assigned programs; serve on various committees and attend professional meetings on behalf of DCI administrative leadership and programmatic administrative directors.
  • Maintain liaison with other programs, offices and departments at Duke to coordinate program business and to accomplish program objectives and activities related to generalized practice management, such as provider onboarding and offboarding, provider change forms, etc. 
  • Involved in the preparation of budgets; forecast, monitor, verify and reconcile expenditure of budgeted funds as appropriate
  • Perform other related duties incidental to the work described herein.

 

Minimum Qualifications

 

Education

Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program

 

Experience

Work requires three years of experience in program administration or involving academic, instructional or counseling activities to acquire skills necessary to plan, coordinate and implement a variety of program activities and events.

Knowledge, Skills and Abilities

Proficiency in EPIC, MS Excel, Teams, Visio, and PowerPoint software preferred
