PROGRAM COORDINATOR

Southeast AIDS Education and Training Center (SE AETC) - North Carolina Partner Site
Reporting Relationship: Reports to the SE AETC Program Director and collaborates closely with the Principal Investigator, faculty, clinical experts, fiscal partners, communications specialists, evaluators, and administrative staff.
Work Location: Hybrid eligible, based on departmental and program needs.
Travel: Regular travel throughout North Carolina with occasional regional travel.

What You'll Do

Program Management & Operations

  • Coordinate daily implementation of the approved SE AETC work plan and program activities.
  • Maintain project timelines, activity schedules, documentation, and deliverable tracking systems.
  • Support preparation of monthly, quarterly, and annual program reports.
  • Manage participant records, registrations, attendance tracking, evaluations, and program documentation.
  • Maintain organized electronic files, standard operating procedures, training records, and compliance documentation.
  • Participate in Duke and regional SE AETC meetings and monitor action items and follow-through.

Training & Educational Event Coordination

  • Plan and coordinate in-person, virtual, and hybrid educational programs from concept through completion.
  • Manage logistics including registration, speakers, technology platforms, training materials, participant communications, and event evaluations.
  • Coordinate clinical preceptorships, mentorship opportunities, classroom training, and professional development activities.
  • Support continuing education accreditation processes, documentation, disclosures, and attendance verification.
  • Provide live event support, troubleshoot operational issues, and ensure a positive learner experience.

Data, Evaluation & Reporting

  • Maintain accurate participant, event, and evaluation data within required databases and reporting systems.
  • Compile learner demographics, attendance data, evaluation outcomes, and supporting documentation.
  • Monitor program performance measures and contribute to sponsor reporting requirements.
  • Assist with data collection and documentation needed for HRSA and SE AETC reporting.

Outreach & Community Engagement

  • Foster relationships with healthcare providers, health systems, health departments, community organizations, universities, and professional associations throughout North Carolina.
  • Promote training opportunities through email communications, newsletters, marketing materials, websites, and social media channels.
  • Respond to inquiries regarding educational services, technical assistance, and training programs.
  • Represent Duke and SE AETC at meetings, educational events, and partner engagements.

Fiscal & Administrative Support

  • Coordinate event expenses, purchasing activities, travel arrangements, speaker reimbursements, and invoice documentation.
  • Monitor spending associated with program activities and communicate potential budget concerns.
  • Assist with vendor coordination, contracts, honoraria, procurement requests, and operational documentation.
  • Partner with grants, finance, procurement, and sponsored programs staff to support compliant financial processes.

Team Collaboration

  • Work closely with program leadership, faculty, staff, and external partners to advance program goals.
  • Support continuous improvement initiatives by identifying opportunities to strengthen workflows and participant experiences.
  • Provide guidance and support to temporary staff, student workers, or volunteers as assigned.
  • Perform other related duties required to support program success.

What We're Looking For

Required Qualifications

Education

Bachelor's degree in a related field.

Experience

One year of experience in program administration, academic support, instructional programming, counseling activities, or related work involving coordination of programs and events.
OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE.

  • Ability to travel throughout North Carolina and occasionally throughout the Southeast region.

Preferred Qualifications

While not required, the following experience will help you excel in this role:
  • Three or more years of related program coordination experience.
  • Experience in public health, healthcare, workforce development, continuing education, higher education, or nonprofit organizations.
  • Knowledge of HIV prevention, HIV care, Ryan White programs, or other federally funded health initiatives.
  • Experience coordinating continuing education accreditation activities and learner documentation.
  • Familiarity with learning management systems, registration platforms, evaluation systems, CRM platforms, or grant-reporting databases.
  • Experience supporting communications, newsletters, professional outreach, or social media engagement.
  • Knowledge of North Carolina healthcare, public health, academic, or community-based healthcare systems.
  • Experience supporting purchasing, travel, vendor management, or sponsored program operations.

Working Conditions

This position is primarily office based with hybrid work opportunities aligned with Duke policies and operational needs. Responsibilities include regular use of computers and virtual meeting technologies, coordination of training activities, interaction with internal and external stakeholders, occasional movement of event materials, and travel to partner and training locations across North Carolina.

Anticipated Pay Range: Duke University provides an annual base salary range for this position as USD $45,661.00 to USD $73,140.00.
