JOB SUMMARY

We are seeking a Program Coordinator to plan, coordinate and administer activities within assigned program areas; develop, coordinate and advise on policy related to assigned major programs.  

 

JOB DUTIES AND RESPONSIBILITIES

  • Has complete oversight of the administrative operations of the Pathology Med-Legal Program, serving as primary contact for all inquiries and consults for attorneys and paralegals securing med/legal services from the team of pathologists, independently determining eligibility for services/program through detailed intake process.

  • Works with external legal teams from initial inquiry and intake to ongoing oversight of caseloads, case progress, court/legal system requirements and adherence, and billing services through close of cases. Research case data for physicians. Currently there is a database of 400+ law firms worldwide that consult with the pathologists for medical issues deemed to be caused by work, home or occupational exposure such as asbestos exposure cases, Black Lung cases, mesothelioma, tobacco and numerous other types of cancer and other serious illness cases.

  • Monitor, analyze and report trends in case referrals and status of cases, evaluating program effectiveness and recommending and implementing modifications to improve program effectiveness, processes and systems. Actively reviews and evaluates services provided to discern additional potential for revenue streams.

  • Case creation and maintenance - obtain medical records, patient histories, exposure summaries, product information, causation reports; order materials; create/manage case databases; set and oversee case review schedules; transcribe cases to Maestro; maintain case information in appropriate review queues based on court deadlines for completion; ensure cases are prepared timely per court deadlines; draft and review legal documents and judge’s orders, interpret directives and ensure any legal stipulations are adhered to. Maintain chain of custody of all medical materials; schedule depositions and all trial testimony; gather all reliance materials for court dates; research and record all case data. Coordinate consultation requests and court appearances where pathologist is needed as SME. Coordinate medical conferences.

  • Ensure all DHIP required Umbrella and Addendum Agreements are completed for each attorney securing services from Duke pathologists.

  • Oversight of financial invoicing, billing, collections/receivables using Med/Legal Billing System for services rendered (medical reviews, expert witness testimony and consults, etc).

  • Budgets for and coordinates all public relations events such as the Medical/Legal Seminar every January (last 16 years) for attorneys and paralegals, from concept to event- developing all informational  materials, advertising, registration of participants, and all logistics.

 

JOB ELIGIBILITY REQUIREMENTS

  • Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program.
  • Work requires three years of experience in program administration or involving academic, instructional or counseling activities to acquire skills necessary to plan, coordinate and implement a variety of program activities and events.
  • OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE.

 

JOB HOURS

The schedule for this position is day shifts, Monday-Friday, with no weekends or holidays.
