Occupational Summary

 

The Program Coordinator will provide support for the Master of Engineering in Climate and Sustainability Engineering within the Department of Civil and Environmental Engineering. This position reports to the Director of the Master of Engineering in Climate and Sustainability Engineering and will be part of a team of program coordinators that work individually and collectively to support various academic programs. The program coordinator will plan, coordinate, manage and administer activities related to program, faculty, and student support.

 

 

Work Performed

 

Program support (50%)

 

  • Monitor, track and ensure student compliance with the academic requirements, deadlines, graduation requirements, etc. and report program progress to relevant entity

Make operational and programmatic decisions that have a significant impact on the successful achievement of program strategies and objectives; develop, coordinate and advise staff regarding program policy.

  • Develop, administer, and assess evaluations and surveys and recommend and implement modifications to monitor or improve program effectiveness.
  • Budget for and coordinate programs functions such as orientation, graduation, seminar, residencies, Industry Advisory Board Meetings, and professional development. Responsibilities may include overseeing event coordination, inviting appropriate speakers or other participants, arranging schedules, arranging travel, arranging catering, facilities, publicity and ensuring necessary financial arrangements.       
  • Support the admissions process as needed by the Director of the Master of Engineering in Climate and Sustainability Engineering, including planning support and participation in recruitment events, answering applicant questions, assessing candidates or interviewing candidates, admitted student activities, and new student onboarding.
  • Prepare budgets, monitor and reconcile expenditures as appropriate.
  • Plan, implement and coordinate systems designed to maintain master’s program informational Duke site page, such as listservs, alumni database, master’s program web page, Pratt Professional Masters Bulletin; prepare and submit course requests to EFC and Registrar’s office for approval.
  • Maintain liaison with other programs, offices, departments and schools at Duke to coordinate program business and to accomplish program objectives and establish procedures for registering and facilitating registration; interface with external organizations as appropriate to ensure cooperative efforts are enhanced and available resources are utilized.
  • Prepare, manage and coordinate all aspects of the program’s financial process to include a yearly budget and monthly reconciliation.
  • Create and maintain a Customer Management System to track industry and academic partner interactions including meetings, guest lectures, projects, board participation, and other involvement.
  • Support program marketing efforts including maintenance of social media accounts and content (e.g., LinkedIn and Instagram).
  • Act as strategic partner to the Director of the Master of Engineering in Climate and Sustainability Engineering in new course planning and assisting with course evaluations

 

Faculty Support (10%)

 

  • Communicate with faculty regarding teaching assignment, course scheduling, course materials, course enrollment, classroom needs and availability, faculty parking, faculty advisor training, grade policies, and other faculty related matters; work with students and faculty to resolve schedule conflicts, monitor and manage the wait lists.
  • Identify, hire, and train TAs in support of courses and the program.
  • Support faculty course delivery by setting up and maintaining Canvas sites, purchasing instructional materials, and liaison with bookstore point person.
  • Conducts new faculty onboarding.

 

Student Support (20%)

 

  • Act as the first point of contact for students in the master’s program and as the interface between the program, the students and the Director of the Master of Engineering in Climate and Sustainability Engineering.
  • Provide a wide range of student services including but not limited to; assisting students with understanding program requirements, supporting students through the course registration process, helping students understand their student account balance, supporting students in need, helping navigate the wide array of Duke requirements and opportunities.
  • Work closely with the Director of the Master of Engineering in Climate and Sustainability Engineering to develop and implement events and activities to support program objectives and develop community.

 

Strategic Initiatives (20%)

 

  • Partner with Director of the Master of Engineering in Climate and Sustainability Engineering to monitor and evaluate program effectiveness using qualitative and quantitative research techniques; investigate trends and recommend and implement modifications to improve program effectiveness, particularly around student experience
  • Create and maintain Masters Coordinator Manual.
  • Collaborate with other program coordinators for shared activities including course scheduling with the Registrar, managing shared resources (parking), student surveys, bookstore liaison, Fuqua course registration, etc.
  • Partner with the Director of the Master of Engineering in Climate and Sustainability Engineering in the exploration and planning for future curricular offerings such as but not limited to: executive programs, workshops, and online offerings.
  • Support the Director of the Master of Engineering in Climate and Sustainability Engineering with Pratt School of Engineering Climate strategic initiatives including but not limited to: New York Climate Exchange and Duke Smart Home.
  • Other tasks as assigned.

 

 

Minimum Qualifications

 

Education/Training

Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program.

 

Experience

Work requires one year of experience in program administration or involving academic, instructional or counseling activities to acquire skills necessary to plan, coordinate and implement a variety of program activities and events OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE

 

Skills

  • Ability to provide guidance and direction to subordinates, including setting standards and monitoring performance.
  • Using logic and reasoning to identify the strengths and weaknesses of alternative solutions to problems.
  • Evaluating program performance, summarizing findings, communicating results, and forming an action plan.
  • Knowledge of business and management principles involved strategic planning, resource allocation, human resources modeling, leadership technique, and coordination of people and resources.

 

 

 

Anticipated Pay Range:

 

Duke University provides an annual base salary range for this position as USD $43,888.00 to USD $70,300.00.
