Occupational Summary:

The Project Coordinator for Community Engagement will help manage the DCI’s benefit event fundraising program, the online giving/registration platform, the coordination of fundraising events, stewardship, build corporate and community relationships, and coordinate program communications; all of which are components of the overall community engagement strategy for Duke Cancer Institute (DCI). Reporting to the Director, Community Engagement, the Project Coordinator is part of the Duke Cancer Institute Development team which partners with various units and departments within Duke Cancer Institute and Duke Health Development and Alumni Affairs.

 

Work Performed:

 

Special Events Management and Fundraising – 70%

Develop creative components for the program, including drafting communications, designing online donation pages using Blackbaud, and creating collateral materials for events.

 

Work with fundraising event organizers on the creation and maintenance of online giving pages, registration sites, and online auction sites for benefit events on our Blackbaud and Bidpal platform; provide customer support to event participants and event managers.

 

Obtain presenters, coordinate staff, and volunteers for events and public relations pieces promoting benefit events and DCI; attend and manage benefit events as a representative of DCI as needed.

 

Attend and manage DCI related events such as donor hosted salons or regional events as needed

 

Working with patients, family members, physicians, and staff, manage third-party and internal fundraisers benefiting DCI. Consult with organizers on fundraising event best practices including event planning, event site setup, marketing, and communications. 

 

Manage the DCI myDukeCancerFund site and create an annual marketing and stewardship plan for page creators.

 

Build and maintain relationships with local businesses and corporations to support DCI’s cause marketing program and event sponsorship efforts. 

 

Manage the DCI Gear project by ordering and maintaining apparel inventory, tracking program budget and profits in Smartsheet, and an annual marketing plan.

 

Manage the Blue Devils vs Cancer relationship and provide mentorship and support for their program and their efforts to promote and fundraise for DCI.

 

Oversee marketing strategies for benefit events with both internal and external communications channels.

 

Stay abreast of best practices in digital fundraising.

Stewardship and Donor Pipeline Building – 20%

Create benefit event stewardship plans to improve event performance and retention.  Develop strategies to integrate and sustain event donors into the DCI pipeline.

 

Create and analyze benchmarking reports for benefit events to create strategies to increase donations, promote site activity, and build pipeline for events.

 

Work with DCI Annual Giving Director, Development Associate, Major Gift Officers to implement successful stewardship and donor relations strategies for benefit event donors.

 

Program Administration & Support – 10%

Manage the execution and tracking of stewardship for the community engagement program to ensure that appropriate stewardship strategies are implemented, and that fundraising goals and revenue targets are achieved.

 

Manage a comprehensive benefit event spreadsheet for the program that includes detailed benefit event information, stewardship plan, and donor recognition activities and opportunities to increase giving within the program.

 

Track and process program expenses and budget.

 

Occasional event attendance and travel including some nights and weekends may be required.

 

Perform other related duties as necessary.

 

DEPARTMENT PREFERENCES/SKILLS

 

Hands on experience in sophisticated logistical planning.

 

Skill in communicating persuasively, both orally and in writing, with different external constituencies.

 

Proficiency in learning computer software programs. Primary fundraising platforms used: TeamRaiser and Bidpal.

 

Ability to analyze, evaluate multiple solutions, and solve complex problems using well developed critical & analytical thinking skills.

 

Excellent time management skills needed to prioritize among many competing priorities.

 

Attention to detail needed to operate accurately and effectively in the regulatory environment.

 

Demonstrated ability to work collaboratively with a wide variety of internal and external constituents.

 

Ability to adhere to deadlines while managing multiple projects simultaneously.

 

Strong computer skills including all Microsoft Office programs, fundraising databases and marketing automation tools.

 

Project management experience preferred.

 

Some graphic design experience would be helpful.

 

Ability to be flexible in working independently as well as collaboratively with faculty and staff to achieve defined goals.

 

Experience with Blackbaud, Smartsheet and digital fundraising is a plus

Minimum Qualifications

 

 

Education

Work requires communications, analytical and organizational skills generally acquired through completion of a Bachelor's degree program.

 

Experience

 

Work requires ability to design, plan and coordinate fund raising activities and special events generally acquired through two years of project coordination experience. OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE
