The Radiology Department at Duke University is looking for Program Coordinator, Senior to join our team. In this crucial role, you’ll provide advanced administrative and operational support for both the Undergraduate Medical Education (UME) program and the ACGME-accredited fellowship programs within the department. This role serves as a key resource and liaison among faculty, trainees, and institutional partners, ensuring smooth coordination across all phases of medical education. The coordinator is responsible for managing complex program requirements, maintaining compliance with institutional and accreditation standards, and supporting the educational and professional development needs of students, residents, and fellows.

Minimum Requirements:

  • Bachelor’s degree in healthcare administration, business administration, or related field preferred with three years of related experience, or equivalent combination of relevant education and/or experience.  
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with educational databases, learning management systems, or program management software.

Preferred Qualifications:

  • Progressively responsible administrative experience in an academic, healthcare, or higher education setting; experience in medical education (UME or GME) strongly preferred.
  • Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
  • Excellent written and verbal communication skills, including the ability to interact effectively with diverse stakeholders.
  • High attention to detail and accuracy in maintaining records and preparing documentation.
  • Ability to exercise discretion, maintain confidentiality, and work both independently and collaboratively within a team environment.

  • This position is hybrid eligible. The position is partially remote, and the employee must reside in a Duke University-approved state.

Position Description:

  • Coordinate day-to-day operations for the department’s Undergraduate Medical Education (UME) program and ACGME-accredited fellowship programs.
  • Serve as a primary administrative contact for faculty, trainees, and institutional offices related to medical education activities.
  • Ensure compliance with institutional policies, accreditation standards, and reporting requirements for both UME and ACGME programs.
  • Manage scheduling, documentation, and communication related to educational activities, including rotations, evaluations, and meetings. Creates aggregate reports in order to monitor trends.
  • Support program directors in the preparation of accreditation documents, site visit materials, and annual program evaluations.
  • Maintain accurate trainee and program records in accordance with institutional and accreditation guidelines.
  • Coordinate recruitment and onboarding processes for fellows and other learners, including communication, interview logistics, credentialing, and orientation activities.
  • Track and report program data, metrics, and outcomes to support continuous improvement initiatives.
  • Oversee the program(s) website, ensuring current and accurate information as well as monitor the Radiology Clerkship email mailbox.
  • Assist with budget monitoring, expense tracking, and other administrative functions related to program operations.
  • Contribute to special projects and departmental initiatives as assigned.

Anticipated Pay Range:

Duke University provides an annual base salary range for this position as USD $48,960.00 to USD $77,928.00.
