Plan, coordinate and administer activities within the Center for Human Systems Immunology including the Divisions of Innate and Comparative Immunology and Innovation Partnerships, as well as the Duke CFAR Developmental Core, and divisional laboratories located at the RTP campus.  Provide overall administrative and program coordination for division laboratories, faculty and staff located at the RTP campus.

15% - Manage laboratory and Center meetings including preparing and coordinating meeting documents and materials, including agendas, handouts, slides, taking meeting minutes and distributing appropriately.

15% - Arrange, schedule, and prepare for internal and external collaborator meetings for the Center as well as arrange and schedule travel, itineraries, etc. for visiting faculty, collaborators, and guest speakers.  Scheduling and setting up virtual meetings when in person travel is not appropriate.  

5% - Manage and plan large SAB meetings for center.

10% - Provide local support and maintain liaison with Department of Surgery Research Administration and Research Development team for grant submissions, collecting and maintaining documents such as CVs, Biosketches, letters of support, trainee documentation, etc.for faculty and Center grant submissions.

10% - Manage and coordinate all aspects of CHSI and CFAR Development Core events including the preparation and monitoring of event budgets.  Work collaborative with other center directors and core leaders to ensure consistency of overall center and program goals.   

10% - Manage and coordinate conceptualizing and writing newsletters, website, social media communications, promotional materials, publications, ads, and fliers related to assigned scientific programs and events.  Manage plans and schedules for release of publicity materials.  Maintain contact lists for all communications.

15% - Maintain liaison with internal and external departments, affiliates groups, faculty and programs, to coordinate Center and laboratory business and to accomplish program goals and objectives of the center and laboratories. 

10% - Prepare center and laboratory budgets and verify and reconcile expenditure of budgeted funds to ensure sustainability.

10% - Provide staff leadership to various program coordinators and administrative staff within the programs, centers, laboratories and division.  Recommend various personnel actions including, but not limited to, hiring, performance appraisal, promotions, transfers and vacation schedules.

 

Minimum Qualifications

Education

Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program.

Experience

Work requires three years of experience in program administration or OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE involving academic, instructional or counseling activities to acquire skills necessary to plan, coordinate and implement a variety of program activities and events.
