The Robert J. Margolis, MD, Center for Health Policy at Duke University seeks to address critical health policy challenges and deliver practical, innovative, and evidence-based solutions to improve health, health equity and the value of health care. The interdisciplinary nature of Duke-Margolis brings together faculty and students from across Duke’s schools and departments and fosters extensive relationships with stakeholders, both internal and external. These relationships span foundations, private sector organizations, state and federal governments, and global entities. The Center fosters excellence, leadership, and scholarship at every level.

 

The Program Coordinator will coordinate and participate in the planning and management of student-facing programs to assist the Education teams in successfully executing program-related activities. The individual in this role provides program coordination across multiple co-curricular programs hosted within the Duke-Margolis Center for Health Policy. The scope of work of this role may vary per the needs of individual programs.

 

Responsibilities include supporting program operations, coordinating program event planning, supporting student outreach efforts, programmatic tracking and assessment, and providing administrative support for team meetings in collaboration with the Assistant Director of Education. This position is in Durham, N.C.

 

% of Time        Principal Duties and Responsibilities:

 

60%                    Program Coordination and Support

  • Create, plan, coordinate, and administer innovative student-facing program activities for the Margolis Scholars Program:  
  • Develop and implement procedures, processes, services, and systems; training relevant parties in proper methods and procedures; and ensuring the correctness of work.
  • Develop and maintain SmartSheet databases, forms, processes, and data tables with automation.
  • Develop and maintain program timelines and deliverable schedules in collaboration with program team personnel; support teams to successfully achieve deadlines and complete tasks.
  • Serve as a central resource for program participants, including mentors, program personnel, and other interested parties to coordinate various aspects of programs; solicit participation and respond to inquiries about programs according to established policies and procedures. Maintain liaison with faculty members, practicing professionals, and representatives of related programs to coordinate the collection and dissemination of information and ensure consistency in communication.
  • Coordinate complex meetings for the program and its partners, including identifying dates, reserving conference rooms or special equipment, and managing other relevant arrangements.
  • Compile and manage a centralized contact list to track program team outreach efforts.
  • Prepare materials for events, including collecting and confirming external participant biographies, titles or affiliations, and headshots for participant lists or meeting agendas.
  • Working closely with the Director of the Margolis Scholars Program to support the needs of the Scholars and Program
  • Minimal evenings, weekends, and domestic travel may be required to support programmatic coordination efforts annually.
  • Provide support to other team members and programs/events, as needed.

       

20%                   Outreach and Communications

  • Develop and implement outreach strategies to engage students in assigned programs.
  • Curate content for social media and web pages and photos from assigned programs and events in consult with the Assistant Director of Education.
  • Draft and edit communications for distributing information internally and externally. Ensure communications are consistent with the Duke-Margolis Style Guide and requirements of individual programs, in consultation with the Assistant Director of Education.
  • Coordinate engagement with Duke student organizations and partner Schools/Departments/Centers, as well as relevant external organizations engaged in the Program

10%                    Program Tracking and Assessment Strategy

  • Monitor and evaluate program effectiveness using qualitative and quantitative research techniques; investigate trends and recommend and implement modifications to improve program effectiveness.
  • Develop and deliver pre-and post-event assessments geared towards assessing programmatic learning objectives with development support from Assistant Director for Education and collaboration with Duke University Assessment Office.
  • Prepare reports and analyses setting forth progress, adverse trends, appropriate recommendations, and conclusions regarding student achievement as requested.
  • Develop and support tracking systems for program-specific requirements.

 

10%                   Administrative Support

  • Maintain and coordinate program calendars and proactively provide information regarding meeting requirements. Prepare materials in advance, take meeting minutes and document action items, and draft/send follow-up communications
  • Schedule meetings, make domestic travel arrangements, prepare itineraries, arrange reimbursements, initiate payment of scholarship funds, and maintain expenses and billings.
  • Maintain documents in Box and maintain version control and edits for all program documents.
  • Prepare budgets and grants; monitor, verify and reconcile expenditure of budgeted funds as appropriate.
  • Order materials for programs as needed.

Preferences:

  • Student Affairs degree preferred.
  • Strong skills in interpersonal communication, detail-oriented coordination, and organization.
  • Ability to take initiative, think critically and clearly, coordinate a variety of tasks simultaneously, and apply appropriate judgment to make decisions.
  • Ability to function independently and work collaboratively across teams.
  • Ability to exercise discretion and maintain appropriate confidentiality of sensitive information.
  • Experience in development and documentation of program processes.
  • Knowledge of Microsoft Office and capacity to learn use of additional software.
  • Passion for student development.
  • Interest in students focused on health policy and health care is important.  

 

Minimum Qualifications

 

Education

Work requires analytical, communications and organizational skillsgenerally acquired through completion of a bachelor's degree program.

 

Experience

 

Work requires one year of experience in program administration or involving academic, instructional or counseling activities to acquire skills necessary to plan, coordinate and implement a variety of program activities and events.  OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE
