The Office of Campus Research Development (OCRD) under the Office of Research at Duke University provides an array of research development services to help lead a campus-wide effort to raise the quality of submitted applications for funding opportunities from federal funding sources. OCRD works closely with the Office of Research Support (ORS) and other campus and university-wide units to provide proposal development support.

 

The Program Coordinator for OCRD will report to the Director of OCRD and will work with the Director and Senior Research Development Associate (Sr. RDA) to support proposal development campus-wide at Duke.

 

Work Performed

Program support (50%)

  • Plan, implement, and coordinate systems designed to monitor the collection, storing, formatting, and dissemination of proposal documents as required to assist overall proposal development led by the Director or Sr. RDA.
  • Maintain liaison with Principal Investigators (PIs) and their teams, grants managers and administrators, RDA liaisons of Campus schools and other units, and any other personnel helping PIs with proposal development. Establish a communication system to coordinate the various aspects of the proposal, particularly as it relates to the coordination and collection of proposal documents.
  • Plan, coordinate, and administer activities of assigned proposal development projects to include developing and implementing procedures, processes, and systems to ensure proposal development process goes smoothly.

Event coordination (30%)

  • Develop and coordinate the marketing of OCRD research programming (expect 3-4 events per semester). This will include conceptualizing and developing marketing fliers and outreach and dissemination of these marketing materials.
  • Coordinate the logistics of research-related programming, including registration, set up zoom meeting (or room reservation, catering, setup, and take down when in-person meetings are allowed), and reminders and follow-up for events.
  • Send follow-up evaluation and compile these evaluation reports.

Administrative support (20%)

  • Manage and administer institutionally limited nominations (ILNs) for the university. This will include coordination with ORS and the foundations offices on campus (Office of Foundation Relations and Duke Giving).
  • Manage and administer a website and funding opportunities disemmination related to the Duke-Oak Ridge National Laboratory (ORNL) Collaboration.
  • Support tracking of OCRD’s services semi-annually and annually. This will include tracking office web analytics, analyzing OCRD services data (combination of web analytics and other means), and helping to prepare reports of these data.
  • Upkeep of OCRD website.
  • Upkeep of OCRD’s standard operating procedures (SOPs), including updating in-house checklists/quality control for a number of the proposal development and event planning functions.

Required Qualifications at this Level

Education/Training: Work requires communication and analytical skills normally acquired through completion of a bachelor’s degree program.

 

Experience: Work requires one year of experience in program/project management involving research administration or other academic activities where the necessary skills in planning, coordinating, and organizing activities and events would be required.

OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE

 

Essential Skills

  • Knowledge of one or more federal funding agency proposal requirements.
  • Project management skills to collect proposal documents (timeliness, excellent customer service, attention to detail, excellent organizational skills).
  • Excellent written and verbal interpersonal and communication skills and be able to effectively interact with individuals at all levels in the organization.
  • Balance the needs of multiple projects simultaneously in a fast-paced, deadline-driven environment where priorities change in response to external needs and opportunities.
  • Work both independently and as part of a team.
  • Skills using logic and reasoning to identify solutions and troubleshoot any potential problems during proposal development and management process.
  • Knowledge of and expertise in using Microsoft Office suite (Word, Excel, PowerPoint)

 

Preferred Skills

  • Desktop publishing skills desired (e.g., experience with Photoshop, Illustrator, InDesign) or willingness to learn.
  • Experience working in Duke University systems (e.g., SPS, myRESEARCHPath).
  • Knowledge of and expertise in developing and managing web content or willingness to learn.
  • Experience in convening workshops, symposia, conferences, etc., in higher education, or willingness to learn.
