The Department of Anesthesiology at Duke University is seeking a Program Coordinator to support the department’s residency and fellowship programs as part of the Department of Anesthesiology's Education Team.
Occupational Summary
The Assistant Program Coordinator supports the Program Directors and GME Program Coordinators with all aspects of the day-to-day program operations. This position is supervised by the Residency GME Program Coordinator.
Work Performed
Program Management

Acquire knowledge of current rules, regulations, and institutional requirements. Develop a thorough knowledge of residency databases to enhance residency programs and department efficiency and updateannually.

Attend and participate in all GME related meetings.

Compile necessary data for continuous quality improvement and accreditation.

Organize and update program didactics and meetings on multiple platforms including MedHub, weekly.

Manage annual evaluations for trainees, faculty, and program staff involved in graduate medical education.

Manage verification and credentialing requests from former residents and current faculty.

Communicate with trainees and Department Leadership regarding departmental and program activities.

Communicate in person and by email regularly and professionally with residents, faculty, and staff regarding various activities, requests, and deadlines.

Manage booking of conference rooms, audio visual requests, and catering as needed for meetings and events.

Provide support for special projects and additional duties as needed, including occasional work outside standard business hours.

Assist trainees with badge and scrub access issues.

Managing the logistics for residents traveling to meetings/conferences, including registration, hotel, flight, presentation posters and travel reimbursements.

Assist with organizing and planning the intern and resident orientations.

Organize team meetings and departmental activities as required.
Recruitment

Assist in the planning, coordination and execution of the logistics for interview days including the creation, design, and publishing of all recruitment material sent to prospective trainees.

Assists with time management, room preparation, catering and other tasks for in-person interview days. For virtual interview days, assistance with logistics via Zoom or other online platform may be needed.

Acquire knowledge of the San Francisco Match, Electronic Residency Application Service (ERAS), and the AAMC National Resident Ranking Program (NRMP) and their applicable schedules, policies and procedures.

Ability to manage multiple priorities effectively in order to meet deadlines with strong problem-solving skills to troubleshoot problems.

Proficiency with scheduling and virtual meeting platforms (Zoom, Teams), Canvas/Sakai, Microsoft Office (Outlook, Word, Excel, PowerPoint).

Able to learn, understand and apply Accreditation Council for Graduate Medical Education (ACGME) or other subspecialties guidelines.

Minimum Qualifications
Education
Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program.
Experience
Work requires one year of experience in program administration or AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE involving academic, instructional or counseling activities to acquire skills necessary to plan, coordinate and implement a variety of program activities and events.

Anticipated Pay Range:
Duke University provides an annual base salary range for this position as USD $44,766.00 to USD $71,706.00.
