The Pratt School of Engineering at Duke University is one of the fastest-rising, highly-ranked engineering schools in the nation. Occupational Summary:

 

The Program Coordinator will provide support to the Director of the Center for Global Women’s Health Technologies. This position reports to the Director. In addition, the Program Coordinator will provide support to Center faculty, staff, and students. This person will plan, coordinate, manage and administer activities within assigned program areas.

 

 

Work Performed:

 

  • Serve on the Director’s administrative management team; keep abreast of status of activities relating to programs, initiatives, and faculty, staff, and students in the Center; coordinate and schedule meetings, discussion topics, and communications for management team activity.
  • Maintain complex calendars required for the Director; manage appointments using independent judgement, often with senior ranking officials within and outside the University. Determine what background information is necessary for the Director to prepare for a meeting and suggest additional meeting participants as appropriate.
  • Ensure the Director’s calendar includes time to complete tasks prior to a given deadline such as study section reviews or letters.
  • Manage all travel for the Director; this includes travel for technical conferences, speaking engagements, and meetings with vendors to ensure timely delivery of necessary supplies.
  • Plan, research and coordinate WISH projects; compile reports and research and analyze specific operational procedures and problems as deemed necessary.
  • Collaborate with Center faculty, staff, and students to ensure appropriate internal and external communication regarding school updates and priorities.
  • Develop and maintain relationships with administrators in the Pratt School of Engineering, the Biomedical Engineering Department, and the Duke Global Health Institute.
  • Analyze Center needs; coordinate inventory. All Center ordering (supplies, equipment, etc.), purchase orders for items and/or contracts, AP check requests, reimbursement processing, expense report write-offs for the Director and other staff reports.
  • Assist in the development of policies and procedures as appropriate.
  • Supervise and delegate the work of other support staff within the Director's office.
  • Oversee incoming correspondence and requests for the Director’s attention; route problems and correspondence to other staff members as appropriate; prioritize items that need immediate attention; answer urgent phone calls or mail as needed.
  • Compose letters and statements independently, requiring interpretation and application of University policies, rules and regulations and monitor follow upon all correspondence that requires answers, responses and written replies.
  • Maintain liaison with levels of administration, faculty, staff, and students to coordinate and resolve problems and issues relative to academic and administrative matters of an internal and external nature.
  • Use discretion in handling personnel issues; apprising the Director and Executive Director of such issues as necessary, and making recommendations for the resolution of personnel and/o r administrative conflicts.
  • Coordinate the Director’s interactions with their lab and research program; this includes assisting with grant submissions, maintaining the Director’s CV, scheduling lab and student meetings, and collaborating with grant managers to provide some oversight of sponsored project-related budgets.
  • Create and maintain science communication of Center updates to the broader public through social media engagement, quarterly newsletter, and audience engagement. 
  • Maintain the highest degree of confidentiality and discretion.
  • Assist the director in such duties as may be assigned or delegated to provide services designed to meet the needs of the Center faculty, students, and staff.
  • Perform other related duties incidental to the work described herein.

Minimum Qualifications

 

 

Education

Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program.

 

Experience

 

Work requires one year of experience in program administration or OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE involving academic, instructional or counseling activities to acquire skills necessary to plan, coordinate and implement a variety of program activities and events.
