PROGRAM COORDINATOR

The program coordinator supports the programs and staff of the Bolch Judicial Institute to ensure the timely and efficient management of programs and activities. The program coordinator will set appointments and maintain calendars; assist in managing correspondence and mailings; handle data entry and database maintenance; assist in managing financial processes, tracking expenses and income from programs and endowments, and reconciling budget reports; and assist with event production and publication preparation and distribution.

 

Responsibilities

  • Manage CRM systems (Salesforce). Update and maintain accuracy of data relating to donors, constituents, members and subscribers. Track publications subscriptions, correspond with publishers, subscribers and agents regarding subscriptions and payments, ensure accurate subscription records, and maintain and develop mailing lists for publications.  Work with support staff and vendors to ensure that databases meet departmental needs and University security requirements.
  • Oversee departmental needs relating to facilities, operations, data management, supplies, and merchandise. Work with Law School and University budget and procurement staff to develop contracts with vendors and oversee their work. 
  • Ensure departmental needs for office space, supplies, and facilities are met and comply with University requirements. 
  • Prepare expense reports, track and reconcile expenses and income on multiple fund codes, including gift, endowed, and operating codes as well as revenue generating codes. Track spending and prepare reports and budget documents for Institute leadership and board members. 
  • Prepare reports, analysis, and supporting documents for programs and activities for Institute administrators, board members, and constituent communications.  Assist with correspondence and periodic reporting of activities to major donors, sponsors, members, partners, and other key constituents. 
  • Provide logistical and administrative support for Bolch Judicial Institute programs, events, courses, conferences, and symposia. Assist departmental staff with event setup, registration processes, compilation and distribution of educational materials, and arranging for CLE credits; assist in hosting, recording, transcribing online events; serve as on-site support for registration and guest support; and other event and program related tasks as assigned.

Required Qualifications at this Level

Education/Training
Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program.

 

Experience
Work requires one year of experience in program administration or involving academic, instructional, or counseling activities to acquire skills necessary to plan, coordinate and implement a variety of program activities and events. OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE
