Sr. Program Coordinator

 

Job Description

 

The Sr. Program Coordinator will be responsible for high-level program coordination across multiple projects, program organization and documentation, and strategic planning/implementation to support alignment of goals and programmatic growth.

 

Our team uses high-quality data and rigorous analytical approaches to study ways to eliminate cancer health disparities. We are focused on examining why cancer disparities exist globally, and to identify effective strategies to advance cancer health equity. We are interested in a range of explanatory factors at the biological, individual, neighborhood and policy level that can be targeted to improve cancer outcomes. Our projects run nationally as well as internationally. Our team includes biostatisticians, project managers, research professionals, post-doctoral fellows, and graduate students.

Programmatic planning and coordination (30% effort):

 

The Sr. Program Coordinator will be responsible for high-level coordination of activities across teams. This includes managing team activities, meetings, events, schedules, and tracking of key program deliverables and benchmarks. This requires working closely with cross-functional teams and project managers to ensure alignment of scope, deliverables, required resources, workplan and timing of projects.  The Sr. Program Coordinator will be responsible for continuously evaluating the research program at a high level and making suggestions for addressing inefficiencies. This will also involve optimizing productivity and nurturing program success from inception to completion, promoting robust documentation and tracking of project procedures and deliverables, and working with internal and external partners across different institutions in the US and abroad to accomplish overall program goals. The Sr. Program Coordinator will develop and maintain a system to support timely and accurate communication within the program, and with stakeholders, e.g. collaborating institutions, sponsors, vendors, suppliers, etc. and act as a delegate for the PI as needed with external partners. 

 

Grants and Financial management (20%):

 

The research program is supported by a complex mix of federal, organization, and institutional grant funding across projects. The Sr. Program Coordinator will work closely with project leads to provide detailed and extensive support for routine, timely tracking and documentation of expenses, financial records, reconciliation, purchases, progress reports, etc across projects. This will also require regular review of budgets, project staffing, supplies and other expenses in relation to project goals. The Sr. Program Coordinator will also assist with execution of sub-contracts, MTA, DUA and other administrative documentations needed. The Sr. Program Coordinator will work closely with the PI and RPL to determine appropriate funding opportunities and support with grant planning and documentation.

 

Program Documentation (20%):

 

The Sr. Program Coordinator will develop an efficient and user-friendly system for ensuring robust documentation, SOPs and organization of relevant program materials. This includes ensuring that all protocols, manuals, manuscripts, slide decks, etc are robust, organized and continuously updated across projects. As a key component of stakeholder engagement, external communication of program updates is critical for impact. Therefore, the Sr. Program Coordinator will ensure that all disseminated materials are accurate, engaging, and current. This includes project newsletters, program website, study flyers, poster presentations, PowerPoint slide decks, graphics, and other documentations. In addition, the Sr. Program Coordinator will manage and ensure quality and timely submission to scientific findings to journals and other avenues and identify opportunities to further promote dissemination of key program outputs for wider impact.  

 

Team Management (20%): 

 

The Sr. Program Coordinator will supervise admin staff and serve as a key point of contact for new hires and program trainees. This includes working with program leaders to identify staffing needs, facilitate recruitment, hiring and onboarding for new hires including but not limited to arranging appropriate technology, providing access to relevant documents and folders, adding to listservs and meetings. Similarly, Sr. Program Coordinator will also facilitate off-boarding process. The Sr. Program Coordinator will develop detailed protocols for staff onboarding/onboarding, manage access controls, and coordinate internship plans to ensure that trainees obtain an appropriate and relevant mix of research operations, applied research and professional development opportunities. The Sr. Program Coordinator will also maintain documentation to track trainee outcomes and accomplishments and update trainee tables to support training grants.

 

Leadership and Engagement (10%):

 

The Sr. Program Coordinator will participate in professional/career development, training and networking opportunities to enhance their managerial and leadership skills, and to continuously implement best-practices and evidence-based strategies to enhance program goals.


Preferred Qualifications
•    Master’s degree or higher in Epidemiology or Public Health preferred (or related field).

 

 

Minimum Qualifications

 

 

Education

Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program.

 

Experience

 

Work requires three years of experience in program administration or OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE involving academic, instructional or counseling activities to acquire skills necessary to plan, coordinate and implement a variety of program activities and events.
