Duke University is seeking an Operations Coordinator to support the Office of Climate & Sustainability (OCS)—including Sustainable Duke, Duke Forest, Duke Gardens, and Duke Campus Farm. In this role, you’ll provide financial, administrative, and operational support that helps advance Duke’s sustainability and climate initiatives.

You’ll play a key role in budgeting, financial reporting, and daily operations while also supporting high‑visibility events such as Climate Weeks and the Duke Climate Summit. This is an ideal role for someone who enjoys working with data, coordinating operations, and contributing to mission‑driven work.


 

Minimum Requirements

  • Associate’s degree or equivalent experience
  • 3+ years of relevant experience in administrative, financial, operational support or an equivalent combination of relevant education and/or experience.

Preferred Qualifications

  • Experience supporting budgeting, financial reporting, or analysis
  • Experience coordinating events or logistics, including travel planning
  • Familiarity with financial systems (SAP, Concur, Buy@Duke, or similar)

Position Description (Essential Duties)

  • Assist in the preparation of the operational budgets for OCS departments including Sustainable Duke, Duke Forest, Duke Gardens, and Duke Campus Farm; review and analyze budget requests and confirm impact on changes as it relates to University budget requirements; total budget exceeds $3.5M.
  • Monitor financial transactions and create budget versus actual reports that can be used to assist leadership with strategic decisions in support of the OCS mission.             
  • Prepare and distribute financial statements for OCS departments, including Sustainable Duke, Duke Forest, Duke Gardens, and Duke Campus Farm. 
  • Maintain liaison with OCS leadership and the Office of Budgets and Business Services in the preparation and analysis of the operating budget. 
  •  Process financial transactions, including but not limited to, journal entries and vendor payments, ensuring transactions are accurate, timely, and in compliance with Duke policy and procedure. 60%           
  • Assist with OCS engagement activities including Climate Weeks in New York City and London and an annual Duke-sponsored Climate Summit, coordinate logistical planning including domestic/international travel for leadership and event attendees.
  • Participate in planning sessions with OCS leadership and advise on details relating to operations. 20%
  • Lead daily office operations for the Office of Climate and Sustainability. 
  • Serve as the first point of contact for internal and external inquiries about OCS operations.  
  • Update OCS website content in alignment with leadership direction, including program descriptions, staff profiles, event announcements, and resources; ensure accuracy and adherence to University branding and web standards. 20%

Anticipated Pay Range: Duke University provides an annual base salary range for this position as USD $48,960.00 to USD $77,928.00. Duke University considers factors such as (but not limited to) scope and responsibilities of the position; candidate's work experience, education/training, and key skills; internal peer equity; as well as market and organizational considerations when extending an offer.
