Title: Operations Assistant, Men’s Golf

 

Occupational Summary:

The Operations Assistant, Men’s Golf will provide administrative and organizational support to the Duke University Men’s Golf program and coaches. General duties include day to day office responsibilities to help manage the operations of a Division I men’s golf program in accordance with institutional, ACC and NCAA policies and procedures. This is a part-time, benefits ineligible position.

 

Work Performed:

· Reconcile and process all expenses (procurement card clearing/reimbursements/check requests) for the men’s golf coaching staff using Concur and following Athletics Business Office policies

· Assist with compliance paperwork regarding rosters, eligibility, time management and additional items as needed

· Assist with planning of official and unofficial recruiting visits

· Provide written correspondence after events as requested

· Assist coaching staff with donor relations including facilitating tours and correspondence

· Create, review and send a monthly newsletter to alumni, donors, and other supporters

· Assist with annual golfing events to include social events, reservations, and coordination of event participants.

· Assist with ordering, maintenance, laundering, and inventory of team practice and competition uniforms

· Provide assistance in tracking and scheduling team van maintenance, inspection, fueling, and cleaning

· Provide assistance in tracking and scheduling facility maintenance and housekeeping needs with the Athletic Facilities and Game Operations department

 

Qualifications:

· Bachelor’s degree or equivalent education and work experience

· Experience working with a Division I athletics program, preferably golf

· A commitment to knowing and complying with NCAA, ACC, and institutional rules.

 

Knowledge, Skills, Ability:

· Excellent communications and organizational skills

· Ability to multitask

· Ability to work with differing populations of employees and student-athletes

Minimum Qualifications

 

Education

Work requires a broad knowledge of clerical and accounting principles and practices normally acquired through two years of post secondary education in secretarial science or a related business field.

 

Experience

 

Work generally requires two years of related secretarial/clerical OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE activities. experience to acquire skills necessary to administer office functions related to office management, communications, and budgetary/accounting
