Position Summary

The Monographic Receipts Management Assistant is a member of the Western Languages Team in the Monograph Acquisitions Department of Duke University Libraries. This position receives and checks in monographic materials in all formats, prepares invoices for payment, performs copy cataloging, and prepares materials for original cataloging. Works under general supervision, but exercises considerable independent judgment in performing daily activities. 

Responsibilities

  1. Performs receipt functions for incoming monograph shipments, including check-in of shipments against invoices/packing lists, categorizing books as received within the Library Services Platform (Alma).
  2. Processes invoices for payment against Duke University Libraries collections budgets, both manually and via data loads using various computer programs.
  3. Prepares incoming material for circulation, including copy-cataloging monographs for discovery in the Libraries catalog; barcoding and itemizing print items in the LSP; labeling and property stamping non shelf-ready print items.
  4. Conducts routine post-cataloging record maintenance for monographic material in the LSP, facilitating added copies, transfers between Libraries collections, and item record changes as required.
  5. As directed by the Team Lead for Western Languages, participates in or spearheads discreet processing projects related to specific areas of the Duke Libraries collections, including but not limited to gifts and shipments of foreign language material from the Library of Congress.
  6. Maintains and submits work statistics to supervisor at the end of each month.
  7. Attends and participates in required meetings, workshops, and planning sessions.
  8. Maintains accurate documentation of current job responsibilities. 
  9. Performs other duties as assigned.

Qualifications

Education:

Required: Two years post-secondary education, or equivalent combination of relevant education and experience.

Preferred:  BA/BS

 

Experience:

Required:  Requires one year of library experience to obtain a specialized knowledge of library systems and procedures. Excellent interpersonal, oral and written communication skills; the ability to work independently and as a member of a task-oriented, high production team; a demonstrated proficiency using computer-based technology and an ability to adapt to new technologies; ability to effectively organize and prioritize daily work; demonstrated commitment to providing outstanding customer services.

 

Preferred:  Prior experience working in an academic research library. Previous experience with bibliographic searching, copy cataloging, or other technical services functions; familiarity with OCLC, Alma, and/or other online bibliographic/acquisitions databases. Reading knowledge of one or more non-English languages.

Salary and Benefits

We are committed to transparency and fairness in our hiring practice. The hiring range for this position is firm at $20.00 - $24.00.  Offers will reflect the candidate’s years of experience and internal equity.
