Graduate Medical Education Program Coordinator

Working closely with department leadership, faculty, residents, and institutional stakeholders, you'll contribute to an environment that values collaboration, excellence, innovation, and continuous learning.
As a trusted partner to the Department Chair, Department Director, and Program Director, you'll help ensure the successful administration, compliance, and ongoing development of a nationally recognized Graduate Medical Education program.

What You'll Do:

Lead Program Administration & Operations

  • Coordinate and support all aspects of Graduate Medical Education program administration.
  • Assist with planning, implementing, and monitoring operational, academic, and financial activities.
  • Partner with program leadership to ensure ongoing compliance with Accreditation Council for Graduate Medical Education (ACGME) requirements and institutional policies.
  • Provide guidance regarding residency program operations, requirements, and best practices.

Manage Resident Recruitment

  • Coordinate annual resident recruitment activities.
  • Maintain expertise in Electronic Residency Application Service (ERAS) processes and National Resident Matching Program (NRMP) requirements.
  • Assist in developing, designing, and distributing recruitment and marketing materials.
  • Support interview season logistics and candidate communications.

Support Accreditation & Compliance

  • Monitor evolving accreditation standards and regulatory requirements.
  • Maintain residency databases and ensure accurate program reporting.
  • Assist in preparing documentation for accreditation reviews and program evaluations.
  • Promote compliance with institutional, departmental, specialty board, and ACGME requirements.

Coordinate Educational Activities

  • Support implementation of educational goals, objectives, and curriculum activities.
  • Assist the Program Director in managing evaluation processes for residents, faculty, and program participants.
  • Compile and analyze data to support continuous quality improvement initiatives.
  • Help ensure an exceptional educational experience for residents.

Collaborate Across the Institution

  • Serve as a liaison among residents, faculty, department leadership, and the GME Office.
  • Represent the department on committees and workgroups as assigned.
  • Foster strong partnerships across departments to support resident education.
  • Communicate important program updates, policies, and initiatives to key stakeholders.

Financial & Resource Management

  • Assist with program budget administration and expense tracking.
  • Support purchasing and resource management activities as delegated.
  • Coordinate meetings, educational events, and departmental activities.

What You'll Bring

Required Knowledge, Skills & Abilities

  • Strong proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Experience working with databases and information management systems.
  • Exceptional organizational, multitasking, and time-management skills.
  • Strong attention to detail and commitment to regulatory compliance.
  • Ability to manage multiple competing priorities and deadlines.
  • Excellent verbal and written communication skills.
  • Proven ability to collaborate effectively with physicians, administrators, learners, and healthcare professionals at all levels.
  • Experience coordinating projects, events, educational programs, or operational initiatives.

Minimum Qualifications

Education

Bachelor's degree in a related field or an equivalent combination of relevant education and experience.

Experience

  • Minimum of three years of related experience required.
  • Experience in graduate medical education, academic medicine, healthcare administration, or residency/fellowship program administration strongly preferred.
  • Knowledge of budget development and financial processes preferred.
  • Working knowledge of:
    • ACGME Common Program Requirements
    • Residency Review Committee requirements
    • Specialty Board certification and tracking requirements
    • Institutional GME policies and procedures

Anticipated Pay Range: Duke University provides an annual base salary range for this position as USD $61,026.00 to USD $88,434.00. Duke University considers factors such as (but not limited to) scope and responsibilities of the position; candidate's work experience, education/training, and key skills; internal peer equity; as well as market and organizational considerations when extending an offer.
