OCCUPATIONAL SUMMARY
The position will provide financial strength and technical expertise in supporting the management of the School of Medicine Institutional reserves, endowments, professorships and special quasi funds. Main responsibilities will include managing operational activities for SOM institutional reserves, ensuring commitments are accurately recorded within a complex database, managing cash flow from various funding sources, developing dynamic reports for Senior Leadership. The position will also support strategic planning, reporting and financial modeling for SOM Senior Leadership. The work will entail direct involvement with the SOM Departments Managers and providing them with financial analysis and reporting on institutional commitments.
FINANCIAL MANAGEMENT, ANALYSES and REPORTING (60%)
- Manage the day-to-day operations of the School of Medicine institutional reserves. Ensure consistency in tracking of institutional commitments, programs and strategic initiatives within the Institutional commitment database and web application, manage complex sources of funding and dynamic expenditure’s structure. Responsible for the transfer requests and reconciliation of institutional funds.
- Plan, develop and coordinate the preparation of financial analyses and reports for SOM institutional reserves including, but not limited to financial statements, operational budgets, variance reports, cost analyses, survey data and other financial information.
- Assist with short- and long-term financial planning, provide support with building models related to institutional reserves spending and various funding scenarios to aid Senior Leadership in planning and decision making.
- Update existing reports for Dean’s and EVP-Health Affairs’ reserve funds, special initiatives and programs. Develop new reports as needed.
- Act as a liaison with business managers to advise departments regarding new and existing commitments, provide guidance on commitment details and spending, respond to budget and operational requests.
- Provide support in budgeting and expense forecasting.
MANAGEMENT OF SCHOOL OF MEDICINE'S ENDOWMENTS, PROFESSORSHIPS and SPECIAL QUASI FUNDS (30%)
- Maintain School of Medicine’s Endowment database, ensure timely data updates, add new structural functionality as needed to respond to ad-hoc requests by departments and Senior Leadership.
- Update the SOM endowment reports on quarterly bases.
- Assist with School of Medicine’s distinguished professorship process by tracking SOM professorships and their holders and providing up-to-date reporting to departments and SOM Leadership.
- Prepare, coordinate and assist with strategic endowment and professorship reporting and analyses as needed.
OTHER DUTIES AS ASSIGNED (10%)
- Assist with ad-hoc inquiries and analyses as requested by Senior Leadership and departments.
- Assist with the preparation and review of internal and external reporting on SOM special institutional funds, such as the Whitehead Foundation and The Duke Endowment.
DEPARTMENTAL PREFERENCES
Required Skills
- Must have strong fundamentals and understanding of accounting, financial management, data analysis and database management.
- Strong critical thinking and analytical skills are required.
- Must demonstrate ability to analyze and interpret financial data and present results in concise, accurate and clear manner in reports for management use.
- Ability to understand complex processes and evaluate various solutions is required.
- Must be skilled in working with large volumes of data and be able to work on multiple initiatives simultaneously and independently.
- Proficiency in Integrated systems- SAP applications (proficiency with Analysis for Office is added value).
- Mastery of Microsoft Office Applications, especially MS Excel/Power Queries, understanding and working knowledge of relational databases such as MS Access.
- Attention to detail.
- Effective communications skills, both written and oral.
Experience
Requires a minimum of six (6) years in financial management and analysis including financial reporting and use of various general ledger and database systems.
Or an equivalent combination of education and or experience.
MINIMUM QUALIFICATIONS
Education
Work requires a Bachelor's degree in Accounting, Finance, Economics, Business Administration or a related field.
CPA is desirable.
Experience
Work requires a minimum of six (6) years' experience in financial management, cost accounting or a field directly related to specialized area of assignment.
