Positional Summary

Oversees the administrative and financial management of large, complex departments, including revenue and fee-based units. Works closely with the Student Affairs Executive Director of Finance and Administration, the DoS, AVP Health Administration, and other Health & Wellness leadership to provide strategic financial oversight and operational support. The incumbent will manage 12 profit centers, 30 cost centers, 21 gift codes, 7 reserve codes, and 14 organizational units, overseeing a combined $23.0M operating budget. Coordinates key administrative functions, including finance, budgeting, revenue management, personnel, and facilities planning. Leads financial functions, strategy and process improvements for the Dean of Students, Counseling & Psychological Services (CAPS), DuWell, DukeReach, Student Health, and AVP Health Administration, ensuring compliance with accounting, billing, payroll, and policy regulations.

 

Serves as the finance lead for the Student Medical Insurance Plan and a key member of the Student Affairs Finance and Administration leadership team, driving strategies to achieve organizational goals. Develops revenue plans, fee schedules, and expense controls in alignment with university policies. Supports staff training and professional development to enhance student engagement. Also serves on the senior leadership team for Student Affairs Finance and Administration.

 

Key Position Duties

Financial Management and Leadership- 35% of Effort

  • Oversight of core financial reporting and analysis functions to ensure timely and accurate information for the annual budget, periodic reports, forecast, variance analysis, audits and ad hoc financial requests.  
  • Ensure that financial results are effectively and efficiently communicated to the Executive Director of Finance and Administration, DoS and AVP Health Administration along with other key operational leaders. 
  • Responsibility for oversight of monthly financial statements to assure proper charging of operating revenues and expenditures in accordance with departmental procedures.
  • Monitor budget expenditures and prepare written reports and analysis to management setting forth progress, adverse trends and appropriate recommendations or conclusions.
  • Prepare funding models and related analysis to support strategic requirements.
  • Recommend corrective actions based on analysis and benchmarking key metrics to optimize performance.
  • Develop and monitor MOUs for service partnerships with Duke departments.
  • Participate in strategic planning, policy and practice decisions, and the like.
  • Represent the Executive Director of Finance or DoS and AVP Health Administration on committees and at meetings, as requested.
  • Perform in-house audits; analysis for greater efficiency; assist in formulating and refining short and long-term financial goals.
  • Perform related duties as assigned or required to meet the Division of Student Affairs, and university goals and objectives.

 

Financial Processing and Systems Management- 35% of Effort

  • Manage accounting functions including invoicing, A/R, Accounts payable, purchase orders, journal entry and the reconciliation of budgeted funds related to month-end and year-end close.  Manage expense, review controls and spending processes to adhere to university guidelines and policies.
  • Oversee all procurement policies and controls related to p-cards; cash receipts; travel reimbursements, etc.
  • Maintain a strong working knowledge of back-office systems such as Epic Reporting, Concur, Buy@Duke, SAP/R4 and the SPB budgeting tool. 
  • Develop revenue plans that support unit operations, including review of fee schedules.
  • Oversees business critical applications and systems that are essential for business.
  • Residential expert in functionality, report design and training.
  • Serve as the administrator for the WebCentral Space planning system.

 

Student Medical Insurance Oversight- 10% of Effort

  • Serve as the finance lead for the Student Medical Insurance Plan.
  • Proactively monitor claims experience, process monthly invoice payments, and maintain insurance premium funds.
  • Lead the annual premium calculation/development.
  • Meet with the insurance provider as needed.
  • Participate in the Student Health Insurance Advisory Committee meetings and conduct the periodic insurance RFP process with AVP leadership.

 

Supervision and Collaboration- 15% of Effort

  • Supervise all accounting staff and related operations, which include work allocation, training, and problem resolution.
  • Evaluate performance and make recommendations for personnel actions.
  • Manage personnel activities to meet University and departmental objectives.
  • Advise staff on employment, salary administration, employee relations, and related issues as required. 
  • Establish and maintain effective and collaborative working relationships with offices and programs in Student Affairs and across campus that will enhance the quality of the student experience.
  • Collegially support initiatives important to the success of other units that serve the campus population.  

 

Other- 5% of Effort

  • Perform related duties as assigned or required to meet departmental, Division and University goals and objectives, as assigned by their Supervisor, Director, or respective designees.

Strongly Preferred Experiences:

  • Previous supervisory experience.
  • 8-10 years of financial experience in either a university health care setting OR university finance capacity.

 

Preferred Skills and Competencies

  • Superior knowledge and experience in fund accounting, finance and general accounting principles, excel and data skills.
  • Excellent organization skills and the ability to effectively and efficiently manage concurrent projects within established guidelines.

 

Anticipated Pay Range:

Duke University provides an annual base salary range for this position as USD $72,795 to USD $136,490.  Duke University considers factors such as (but not limited to) scope and responsibilities of the position; candidate's work experience, education/training, and key skills; internal peer equity; as well as market and organizational considerations when extending an offer.

Minimum Qualifications

Education

Work requires a Bachelor's degree in Accounting, Finance, Economics, Business Administration or a related field. CPA is desirable.

Experience

Work requires a minimum of six years experience in financial management, cost accounting or a field directly related to specialized area of assignment.OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE
