Position Summary

The facilities coordinator holds the primary responsibility for the daily tasks and maintenance of the Perkins/Bostock/ Rubenstein Libraries complex. They also provide assistance coordinating, scheduling and supporting facility staff working in all DUL locations including Lilly Library, Music Library, the Library Service Center and the Duke Marine Lab. In addition, they provide back-up support in the security services and materials distribution activities that support the operational and maintenance needs of the Duke University Libraries.

Responsibilities

Facilities Support (80%)

  • Coordinates, arranges and/or monitors routine and emergency services with appropriate departments or vendors including, but not limited to, housekeeping, heating-ventilation-air conditioning, structural and cosmetic repairs, plumbing, electrical, and maintenance of safety features. 
  • Inventories and manages onsite and off-site storage for non-collection library items.   
  • Maintains the annual capital asset inventory and serves as primary point of contact for biannual inventory surveys with the Duke Plant Accounting Office. 
  • Assists DUL facility staff in building management and service coordination for all library buildings.
  • Serve as library space manager to support staff office assignments and routine office/furniture moves, ensures that DUL’s entries and reporting in the Web Central system are up to date. 

 

Administrative Support (10%)            

  • Manage library building and room card and key access, as well as subsequent policies and processes. Manage key inventory and issuance of master and submaster keys.
  • Create, distribute and manage FDS shared BOX folder and staff surveys.
  • Maintain and act as first responder to FDS Departmental emails; as well as utilize departmental email to share/communicate relative information and updates to library staff.
  • Assist director and building manager as needed with budget preparation and management. 
  • Coordinate with UL Staff Assistant to ensure adherence to library space use policies; resolve complex issues that arise.
  • Coordinate with department staff to ensure administrative and operational support is provided to meet department goals, this may include logistical, scheduling, and purchasing support.
  • Coordinate, manage and maintain all library safety training, drills, and communications.
  • Assist FDS Director and Manager with other duties as assigned.

 

Other Departmental Duties (10%)

  • Serves as backup for Distribution when necessary (including driving/delivery/mail sorting and distribution).
  • Serve as backup for Security Services when needed (including building sweeps, member of Emergency Services Response Team, first responder to alarm calls after hours (nights/wknds).
  • Other duties as assigned.

Education:

Work requires organization, communication, and comprehension skills generally acquired through two years post-secondary education.

 

Experience:

Required: Work requires the ability to plan, implement and coordinate activities involved in building management and related ancillary operations generally acquired through three years related experience.  

Preferred: Prior experience working in an academic research library or university facility; knowledge of Duke FMD operations; prior security coordination experience  

Working Conditions

  • Frequently moves library materials weighing up to and over 40 pounds
  • Must have valid NC Driver’s License and be eligible to drive a Duke vehicle.
  • Frequently works in an environment in which exposure to materials containing dust and mold is possible.
  • Constantly positions self to reach high and low shelves
  • Some variation in work schedule, including early morning, evening and/or weekend work may be necessary

Salary and Benefits

We are committed to transparency and fairness in our hiring practice. The hiring range for this position is firm at $50,000 - $58,000.  Offers will reflect the candidate’s years of experience and internal equity.
