Occupational Summary

 

This position is responsible for analyzing, recording, updating, and verifying the accuracy of complex philanthropic activity in DADD (Duke Alumni & Development Database) and SAP for Alumni & Development Records (ADR).  It provides guidance and direction on recording large financial commitments made by donors to ensure these are accurately reflected on the University’s financial statements.  The position serves as a key liaison between ADR and colleagues in Alumni Engagement & Development (AED), Endowment Administration, Gift Planning and Corporate Cash Management (CCM).

 

Work Performed

 

  • Serve as a key point of contact for major gift officers, Endowment Administration, Gift Planning and Corporate Cash Management on issues related to pledges and other commitments, gifts, and donor records.
  • Serve as subject matter expert on all issues related to pledges and payments with The Duke Endowment.
  • Review documentation for complex and/or large gifts and pledges, as well as gifts and pledges from major donors, to determine how best to reflect those gifts and pledges in DADD.  Provide guidance to gift officers developing pledge agreements.
  • Analyze, record, and verify the accuracy of complex gifts and pledges, as well as gifts and pledges from major donors.  Keep leaders in Duke Finance and AED updated on issues involving major donors.
  • Analyze and resolve complex issues related to maintenance and updating of gift and pledge data on DADD.  Provide direction and support to staff performing these tasks.  
  • Update PGVs (Planned Giving Vehicles) in conjunction with Gift Planning.
  • Work with Corporate Cash Management to identify and record wires and ACH payments.
  • Work closely with Gift Policy Committee and Treasury Administration on gifts processed via Duke Gift Properties and Duke University Philanthropies.  
  • Review gifts in suspense and, when appropriate, allocate them in accordance with donor intent.
  • Update fund codes and other items within DADD.  Perform testing of new DADD functionality. 
  • Design, test, and implement procedures and processes to streamline the recording of philanthropic activity, focusing on opportunities to automate these activities.
  • Maintain strong working knowledge of IRS tax laws and regulations related to charitable giving, including, but not limited to:

 

1) substantiation of gifts; 2) acceptance of charitable support from donor-advised funds, foundations, and IRA distributions; 3) gifts-in-kind; and 4) stocks & marketable securities gifts.

Minimum Qualifications

 

 

Education

Work requires knowledge generally acquired through a bachelor's degree in finance, accounting, or a directly related field.

 

Experience

 

Work requires at least one year of experience working in a finance, accounting, billing/collection, banking, or higher education environment or an equivalent combination of relevant education and/or experience.
