Position Title: Director, School of Medicine, Office of Appointments, Promotion and Tenure

 

Occupational Summary: The Director of APT directs and oversees the daily operations of the APT Office. This position independently provides counsel, oversight, and guidance related to all faculty APT matters to the Dean, Chairs, legal counsel, CAOs, Business Managers, DAPT chairs, faculty and APT Managers in the School of Medicine. This position interprets the Faculty Handbook, makes recommendations for updates to the SOM content in the handbook, writes and edits policy related to faculty and communicates this information to departmental leadership. All new DHIP procedures are also managed by this position, including faculty leaves, offers and hires. This position manages all day to day operations of the APT office staff (3 FTEs). The ideal candidate for this position will have excellent communication, leadership and problem-solving skills. Ability to work well within a larger team is critical.

 

 

Work Performed

Direct, manage and oversee the operations of the office of Faculty APT.  This includes appointments, promotions and tenure recommendation from the School of Medicine and School of Nursing.

  • Direct and independently oversee the daily operations of the Faculty Appointment Promotion and Tenure office (APT) which encompasses the School of Medicine and School of Nursing APT recommendations.  The APT office is responsible for: All Regular Rank and Non Regular Rank Faculty appointments, promotions and reappointments for the Clinical Sciences and Basic Sciences Departments and Institutes; Duke Medicine Recruitment, faculty offers;  Issuance of Faculty Contract Letters; Job Family 27 and Post Doc position creation and hires; Faculty leave of absence; Tenure clock Extensions; Preparation for Review Committees, Clinical APT, Basic Science APT, MCEC, BOT; iForm approvals; dFac approvals; Systems Training
  • Review all faculty offers, including regular rank and non-regular rank are submitted to the APT office for review and approval. This position oversees that review and provides backup to the Administrative Manager to ensure approval flows and timely submission of offers to incoming new faculty to Duke.
  • Provide advice, guidance and direction related to APT issues for Duke Legal offices, Dean, Vice Deans, CAOS, and department managers
  • Complete ad hoc analyses for faculty related requests to Vice Dean/Associate Vice Dean received from DUHS and other entities
  • Manage and approve all SOM Faculty Leave of Absences after the July 1 DHIP implementation -all Flexible Work Arrangements are now approved and managed by the position.
  • Serve as primary point of contact for faculty related questions after the Vice Dean for Finance moved to DHIP role.

 

Ensure compliance with University policies and procedures.  Independently oversee the School of Medicine Faculty Appointment, Promotion and Tenure processes and policies.  Provide vision and direction in the formulation and dissemination of new policy.

  • Implement and oversee the new APT tracks and criteria. This position now provides oversight and guidance and problem resolution for this vast change in promotion criteria for all faculty appointments and promotions.   
  • With the implementation DHIP, the position ensures compliance with clinical hires and university hires. Previously this was fully managed by the PDC.
  • Create and direct monthly information meetings for all department APT committee chairs and managers.
  • Train departments on new systems and procedures relating to Faculty APT
  • Attend and represent SOM/APT at working committees, ie Fac, DMR, Onboarding
  • Ensure compliance with University policies and procedures. 
  • Creates and implements procedures to disseminate information about these new policies.

 

Supervise and manage APT office staff for optimum performance. 

  • Oversee and manage the distribution of work in the office.
  • Communicate regularly to Vice Dean for Faculty and Senior Director about potential problems and solutions.
  • Provide oversight and direction related to the Distinguished Professor nomination process; a large project recently moved to this office.
  • Complete annual performance review process for staff.

 

 

 

Minimum Qualifications

 

 

Education

Work requires a Bachelor's degree.

 

Experience

 

Seven years of related work experience. Knowledge of business and management principles and practices. OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE
