The Pratt School of Engineering at Duke University is one of the fastest-rising, highly-ranked engineering schools in the nation. Occupational Summary

Provide overall administrative management and coordination of a variety of administrative functions including finance, budget, personnel, space and facilities planning, grant administration, academic support and policy interpretation within a large, complex and active University department.

 

Work Performed

 

Collaborate with ECE Chair to develop and implement strategic plans for the department and an administrative organizational structure that best utilizes staff expertise while properly supporting ECE faculty, staff, and students. Maintain interface with departmental personnel to coordinate operational activities to ensure adequate staffing, space and facilities; overseeing purchasing, maintenance and renovation activities for the department; administer a program of property management and accountability. Serve as departmental liaison with administrative and professional personnel concerning University policies and procedures, personnel administration, grant administration, student programs and budgetary preparation and control. Interface with Pratt administration, Pratt Business Managers, and other Departments/units across Duke to ensure coordination and encourage propagation of best practices. (25%)

 

Supervise, mentor and coordinate work of designated employees. Manage personnel activities to meet University and departmental objectives. Work with ECE staff to create professional development goals, while aligning the needs of the staff member and the department. That includes a team of grant managers, program coordinators supporting graduate studies, HR Manager and other staff members. Prepare annual performance reviews with each individual staff members by soliciting feedback from internal and external customers and assigning objective, measurable goals for the coming year. (40%)

 

Plan departmental operational budgets by analyzing operating needs, projected revenue and expenses on both a short and long-range basis. Manage capital expense budgets as required. Determine fiscal requirements, make projections and prepare departmental budgets.  Prepare reports and analyses for the Chair to include financial reports, setting forth progress, adverse trends, and appropriate recommendations.  Perform year-end closing activities. (25%)   

 

Ensure the proper management of administrative aspects of faculty recruitment, appointment, promotion, and tenure processes, including maintenance of faculty data, as requested by the Chair. Facilitate effective faculty recruitment, onboarding and mentoring programs. Develop and maintain departmental Standard Operating Procedures for this process. Ensure all ECE faculty are effectively onboarded with regards to Duke’s policies and resources and supported in all aspects of their career (teaching, research, etc.). Enhance faculty customer s service providing guidance and support, as needed. Advise faculty on employment, salary administration, employee relations, visas, and HR-related issues as required. (10%)

Education/Training

Experience

Work requires 4 years related business or administrative experience to acquire competence in applying general personnel practices, accounting and budgeting principles and coordination of major administrative functions. 

 

A master's degree in a business-related field maybe substituted for 2 year's experience
