Occupational Summary

The Facility Operations Building Coordinator is responsible for developing and maintaining a customer-focused approach to service delivery by the Facilities Management Team. The Building Coordinator is responsible for: ensuring services provided to the precinct are properly coordinated and meet the needs of each facility and the building occupants; coordinating with area stake holders for all work including preventive maintenance, repairs and all other services.  The Building Coordinator is responsible for overseeing the effective and efficient delivery of contract services provided through outside service providers (OSPs); and monitoring, auditing and ensuring OSPs operate according to approved contract management controls. The Building Coordinator will report directly to the Director of Building Renewal and Project Support.

 

Work Performed:

 

  • Develop and maintain a customer-focused approach to service delivery by the Facilities Management Team. Regularly meet with area stake holders to understand needs and ensure a strong working relationship is maintained.
  • Provide leadership to ensure primary focus on resolving operational, safety and service delivery issues with appropriate urgency and optimal efficiency.
  • Review Work Orders (WO) for accuracy and clarity and ensure clearly defined scope of work, proper billing account numbers, and correct budget information is used.
  • Maintain regular communication and positive relationships with stakeholders, faculty and staff from the various University departments.
  • Lead periodic meetings with key stakeholders to identify and coordinate the short-term and long-term schedule of activities planned for each facility.
  • Ensure facilities-related services provided to the precinct are properly coordinated and meet the needs of each facility and building occupants.
  • Conduct routine, scheduled inspections of assigned facilities to ensure that an intentional and professional look for each of the buildings and grounds are maintained by both internal and outside service providers.
  • Regularly evaluate work output for quality, efficiency and timeliness. Identify continuous quality improvement opportunities for each service area, determine appropriate improvements and implement approved changes.
  • Coordinate shutdown schedules by working with Project Managers, stakeholders, Engineering, Facility Operations and Utility Operations. Coordinate work so as to reduce impact to building occupants, scheduled events and planned maintenance work.
  • Identify and plan for seasonal events, such as commencement, alumni weekend, summer camps, etc. Coordinate planning activities with other Building Coordinators for other precincts as needed. Assess impact on services and adjust meet the short-term needs.
  • Participate in implementing FMD Safety Program which ensures work hazards are identified, appropriate safety procedures are written, and staff are knowledgeable and comply with all Safety Program requirements.
  • Support Office of Project Management (OPM) project teams during pre-construction planning activities as well as during construction.
  • Provide recommendations in a timely manner on key areas which impact the long-term operation and maintenance of buildings and the effective delivery of services to these facilities. This may include reviewing and providing written comments on drawings, specifications and submittals as well as coordinating shutdowns with building occupants.
  • Provide input to the Building Renewal Budget Planning process.
  • Oversee small Building Renewal Projects consistent with the identified budgets and FMD processes.
  • Participate in selection and development of supplemental service contract agreements with OSPs to provide specialty services and additional labor in response to work volume changes and deadlines.
  • Oversee and ensure effective and efficient delivery of contract services provided through OSPs.
  • Develop and maintain long-term business relationships with key OSPs.
  • Continuously manage customer expectations and monitor customer satisfaction levels of all applicable key stakeholder groups for each outside service.
  • Provide back-up support for other Building Coordinators to ensure campus coverage is maintained and to build operational and facility knowledge across the University precincts.
  • Periodically seek one-on-one feedback from stakeholders on performance against expectations.
  • Perform other related duties as assigned.

 

Required Qualifications at this Level:

 

Education, Training and Experience:

2-Year Technical Degree or equivalent facilities management or building construction experience required (4-Year Degree preferred), and

 

Minimum of ten (10) years direct experience in commercial or institutional facilities maintenance and operations settings required (experience in higher education, hospitals or manufacturing facilities preferred)

 

OR

 

AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE

 

 

Preferred Experience:

5 years directly related leadership experience, and proven performance in a maintenance and operations environment, including HVAC, electrical and plumbing systems

 

Experience working with Infor EAM Work Order Management System or equivalent CMMS system

 

Knowledge, Skills and Abilities:

Extensive computer software skills using MS Office including Word, Excel, PowerPoint, and Outlook required

 

Excellent oral and written communication skills; ability to communicate effectively to a wide range of audiences, including senior University management, faculty, staff from other departments, students, and others required

 

Ability to create and maintain positive customer and stakeholder relationships required

 

High level of organizational planning, teamwork, analytical reasoning skills including data analysis techniques skills required

 

Ability to read and interpret architectural and engineering building and system plans, diagrams and specifications required

 

 

 

 

Minimum Qualifications

 

 

Education

Work requires communication, coordination and trades skills normally acquired through a high school education plus two years of specialized training in the building trades.

 

Experience

 

Work requires a broad knowledge of building systems, equipment, OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE renovations, and maintenance normally acquired through five years of experience in one or more of the skilled trades.
