Occupational Summary
Provide administrative management and coordination of various business-related functions such as space and facilities management, front desk supervision, and operational policy interpretation in accordance with all University policies. Serve as school liaison for Ph.D. student collective bargaining agreement provisions and in consultation with school senior leadership, initiate recommendations for appropriate measures to address identified problems or issues, which may include providing suggestions on policy clarification or development, interpreting, and developing and delivering school-level training. Provide administrative and project management guidance during the development and continued improvements of school initiatives strategic planning. Supervise designated team related to project management, collective bargaining, and information technology planning.
Work Performed
Administrative
Plan school betterment and facilities operational budgets by analyzing operating needs.
Coordinate the completion of school facilities management needs as needed to ensure building local, state, federal, and university compliance and safety standards are maintained. Oversee facilities and space management for the school including day to day building management. Provide strategic guidance on major renovations.
Develop, coordinate and manage operational and administrative activities including supervision of front desk, project management, and information technology staff, prepare appropriate recommendations for solutions to problems, and assist in the establishment and implementation of policies and procedures.
Manage and supervise the day-to-day activities of assigned staff, ensuring proper distribution of assignments and adequate staffing, space and facilities for subsequent performance of duties.
Recommend various personnel actions including, but not limited to, hiring, performance appraisals, promotions, transfers and vacation schedules
Human Resources and Collective Bargaining
Work closely with the school senior leadership team and designated Duke Staff and Labor Relations contacts on union-related matters, to include meeting with University leadership to discuss Ph.D. student union-related issues and concerns.
Provide guidance and school-level training on collective bargaining agreement (CBA) provisions.
Interpret Ph.D. student collective bargaining agreement provisions and participate in grievance and arbitration hearings, as appropriate.
In partnership with school data analytics, budget, and other teams, assist in the coordination and preparation of collective bargaining unit (CBU) data and related reporting to Staff and Labor Relations. Ensure integration of data from the School and other various offices for semester reports submitted to the Union.
Provide senior management with analysis and reports for all Ph.D. student CBU members within the School. Compile data and deliver ad hoc reports and analysis for special projects related to the CBA.
Provide input on system updates and ensure that data aligns with guideline changes or CBA revisions.
Strategic Planning and Project Management
Organize and participate in meetings with school team members to determine objectives for department and develop strategic plans to achieve departmental goals.
Coordinate the determination of resource requirements for the various school units.
Prepare utilization and productivity reports, analyses, and presentations for school operational functions, and provide non-labor budgetary recommendations as needed.
Develop and implement continued improvement processes, with outcomes tracking, for identified areas of risk and deficiency.
Assist units in maintaining master project schedules and level of prioritization.
Perform other related duties incidental to the work described herein.
Preferred Qualifications:
A Master’s degree in human resource management, business administration, higher education administration or a related field, to include a legal background. PMP or specific training in project management.
Anticipated Pay Range:
Duke University provides an annual base salary range for this position as USD $67618.00 to USD $124,518.00. Minimum Qualifications
Education
Bachelor's Degree required. Work requires strong communications,analytical, organizational and business skills normally acquired through completion of an advanced degree in a related field. Masters or J.D.preferred.
Experience
Work requires a minimum of seven years of demonstrated experience in a combination of administrative management, financial and strategic planning ,and knowledge of educational principles, curriculum development and instructional design
Skills: Demonstrating project management experience with the ability to conduct research and analysis.
Demonstrating leadership skills and an ability to think independently and make sound, strategic, legally compliant decisions in a timely fashion.
