SUMMARY
The Assistant Director is a member of the staff of the Office of Curricular Affairs in the Duke School of Medicine. The position reports to the Associate Dean for Curricular Affairs, with a dashed line reporting relationship to the Associate Dean, medical Education Administration, and works closely with faculty and program staff to administer all aspects of the curriculum. The Assistant Director will provide overall administrative oversight to staff, support to the faculty and students, and the coordination of a variety of functions such as finance, budget, personnel, space planning, and course support.
WORK PERFORMED
Oversee OCA staff (30%)
Provide daily oversight, guidance, and mentorship for 20+ OCA staff members, including both direct and indirect reports. Provide work assignments, monitor progress and review outcomes for multiple direct reports.

- Oversee relevant HR functions including hiring, performance reviews, development plans, promotions, and terminations for direct reports.
- Maintain appropriate staffing levels and execute timely recruiting and hiring of personnel needed to support course directors.
- Develop and oversee policies related to work schedules, including hybrid work schedules, for all OCA staff
- Provide routine professional development and team building opportunities for the OCA staff.
Manage high stakes reporting of faculty teaching effort and funding model (20%)
Generate reports from multiple sources, monitor quality of data, initiate fixes and reconcile potentially inaccurate data in quarterly and annual reports.

- Participate in iterative process with Vice Dean and Associate Dean of Medical Education Administration of finalizing and submitting quarterly reports that result in faculty being paid for their teaching effort.
- Work with IT professionals and LMS vendor to automate portions of the process.
- Work with financial analysts in Dean’s office and departmental representatives to understand financial implications of teaching allocation.
- Liaise with School of Medicine departments and faculty receiving disbursements from funding model
Support clinical correlation courses and Course Directors (20%)
- Plans, coordinates, and implements all program activities for Duke Clinical Skills Intensive (CSI) and Clinical Skills Course (CSC) for approximately 120 MS2 medical students annually.
- Management of the above requires sound organizational skills and the ability to communicate effectively with medical students on a regular basis.
- Maintains electronic databases; enters and retrieves information to manage evaluation processes. Creates aggregate reports to monitor trends. Including creating, compiling, and analyzing attendance records for required course events.
- Coordinates and maintains CANVAS learning management system course for CSI and CSC.
Oversee MS2 Clerkship Coordinators and Support Course Directors (15%)
Plan and facilitate Clerkship Coordinator meetings to coordinate efforts that occur across clerkships
- Work closely with Clinical Education leadership to implement strategic processes to support clinical activities in the second year
- Attend monthly Clerkship Director meetings
- Attend quarterly meetings with other health affairs representatives to ensure appropriate MS2 placements on various clerkships
- Ensure that all clerkships have appropriate materials in Canvas for reporting purposes
Oversee OCA Budget (15%)
- Oversees annual budget process in coordination with budget manager including quarterly projections and annual budget approval process
- Manages requests for funding from faculty, course directors, and staff
MINIMUM QUALIFICATIONS
Anticipated Pay Range
Duke University provides an annual base salary range for this position as USD $ 61,465.00 to USD $105,523.00. Duke University considers factors such as (but not limited to) scope and responsibilities of the position; candidate's work experience, education/training, and key

Education
Work requires a general business background generally equivalent to a bachelor's degree in a business related field.
Experience
Work requires 4 years related business or administrative experience to acquire competence in applying general personnel practices, accounting and budgeting principles and coordination of major administrative functions.
A master's degree in a business related field may be substituted for 2 years experience.
