The Advancement Services Coordinator must demonstrate successful project management and organizational skills, and have a strong attention to detail. Responsible for collecting and documenting data from various sources; producing lists, reports, and briefings; and supervising student employees. The Coordinator reports to the Sr. Director of Advancement Services and works closely with other members of the Fuqua Development and Alumni Relations (DAR) department and other departments at Fuqua and Duke.
Job Duties
Data management support (60%)
- Provide alumni and prospect database management by updating biographical information, recording alumni engagement, and noting general life updates provided by alumni, staff, and faculty.
- Research alumni and donor prospects using a range of tools and resources. Update alumni and donor information in the SAP-based database and pass along prospect leads to alumni engagement and fundraising staff.
- Responsible for uploading attendance and appending updates to the alumni database for events not captured through the Cvent system.
- Manage the transition of information from the student database to the alumni database, including verifying biographical information, confirming degrees, coding alumni to appropriate affinity groups, and supporting class email distribution lists creation.
- Collaborate with the Dean’s Administrative Coordinator to update Fuqua Board of Visitors membership, biographical information, and meeting attendance in the database.
- Collect and record student activities in the alumni database.
- Support the Sr. Director of Advancement Services in compiling lists and information for surveys featured in various publications.
Individual and event briefings support (20%)
- Create donor and event briefings for Fuqua’s Dean, senior Development & Alumni Relations staff, and other audiences.
Information and research support (10%)
- Track incoming requests for the Advancement Services team.
- Provide timely responses to requests for information from alumni, students, faculty, and staff.
- Conduct research for projects as signed by the Sr. Director of Advancement Services.
- Manage general email inboxes.
Student employee management (10%)
- Manage the hiring process for student employees.
- Train student employees.
- Prepare project assignments for student employees and manage their work flow.
Requirements and qualifications
- Two years of postsecondary education required.
- Successful project management experience, including meeting numerous deadlines and objectives and managing multiple concurrent projects with limited resources.
- Strong attention to detail, flexibility, and ability to work independently and in a team environment.
- Superb organizational skills.
- Proficiency with Microsoft Office products (Word, Outlook, Excel) and willingness and ability to master a proprietary SAP-based database tool.
- Experience doing research using the internet and social media.
- Excellent written and oral communication and customer service skills.
- Excellent interpersonal skills, sound judgment, and experience handling confidential information.
- Strong work ethic in a fast-paced, results-oriented team environment.
- Creativity, adaptability, diplomatic skills, and a sense of humor.
Anticipated Pay Range:
Duke University provides an annual base salary range for this position as USD $24.41 to USD $39.07.
