JOB SUMMARY

We are seeking an Administrative Specialist to support the DHIP Leadership Team. This includes 4-5 VPs, AVPs, or ACMOs as assigned.

 

JOB DUTIES AND RESPONSIBILITIES

  • Apply knowledge and skills to resolve complex and routine administrative problems in support of assigned DHIP leaders as assigned. Leadership assignments scoped for this role include VP Clinician Compensation, AVP Western North Carolina, VP Health Equity, and Vice Dean Clinical Departments. 
  • Provide and coordinate scheduling support for DHIP leaders as assigned. 
  • Leverage expertise in Concur or similar tools for managing billing, compensation, expense tracking, and reimbursements.
  • Plan and execute event logistics, including vendor coordination, budget tracking, and on-site event management.
  • Interpret institutional policies and procedures, making decisions on specific issues and issuing instructions in support of the DHIP Leader as well as generate high-quality reports, presentations, and meeting materials independently and as requested by leadership.
  • Coordinate and organize Committee meetings including attendees, meeting agendas, meeting minutes, follow-up, and presentation preparation. 

 

JOB ELIGIBILITY REQUIREMENTS

  • High school education or equivalent.
  • Four years of administrative support experience of increasing variety and/or complexity.
  • Advanced proficiency with MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Proven ability to work with multiple complex calendars and coordinate large-scale meetings.
  • Proficiency with Concur or similar billing and expense management tools.
  • Experience in event planning and logistics, including budget management and vendor coordination.
  • Strong interpersonal and communication skills, with a focus on delivering exceptional customer service.

 

JOB HOURS

The schedule for this position is day shifts, Monday-Friday, with no weekends or holidays.
