OCCUPATIONAL SUMMARY

 

Gross Anatomy Lab and Human Fresh Tissue Lab Administrative Manager provides administrative management and coordination for various business functions providing overall administrative management and coordination of various administrative functions, including finance, budget, personnel, space, facilities planning, and policy interpretation.

 

This position reports to the Associate Dean for Medical Education Administration.

 

WORK PERFORMED

 

  • Coordinate the operations and finances of the Human Fresh Tissue Lab (HFTL) and Gross Anatomy Lab; effectively manage staffing; manage HFTL events and calendar; order supplies when needed; and organize cadaver donations, processing, and distribution.
  • Plan program operational budgets by analyzing operating needs, projected revenue, and expenses on both a short and long-range basis; determine fiscal requirements, make projections, and prepare Gross Anatomy, HFTL, and Anatomical Gifts Program budgets. Manage annual cost allocations to all Gross Anatomy educational programs and all HFTL programs.
  • Manages the annual supply of cadavers to ensure availability for multiple Health Profession programs. Follows all federal, state, and university-wide procedures and protocols to meet health and safety measures for all cadavers, labs, staff, participants, and others.
  • Maintain interface with departmental personnel to coordinate operational activities to ensure adequate staffing, space, and facilities; coordinate purchasing, maintenance, and renovation activities for the Gross Anatomy lab and HFTL; ensure all safety and compliance requirements for the lab; monitor, verify, and reconcile expenditure of budgeted funds; prepare financial statements reflecting the status of programs and activities; ensure compliance with University policies and procedures.
  • Serve as program liaison with administrative and professional personnel concerning University policies and procedures and personnel administration.
  • Manage and coordinate the Duke FLAP course and other HFTL courses, including—but not limited to—space, safety protocols, budget, industry, event planning, purchases, and any other needed support to maximize revenue, manage expenses, and optimize logistics and marketing to support Plastic Surgery.
  • Effectively create marketing links and campaigns to promote course attendance through websites and societies. Liaise with registrants and attendees to answer course-related questions: process honorariums and reimbursements.
  • This position supervises the Gross Anatomy/HFTL Lab Manager, advises faculty and staff on employment, salary administration, employee relations, and related issues as required, and manages administrative aspects of the promotion process.
  • Maintain and cultivate relationships with industry partners to fund HFTL programs and utilize Duke facilities.
  • Serve as liaison with administrative and professional personnel concerning University policies and procedures, personnel administration, grant administration, and budgetary preparation and control.
  • Supervise and coordinate work of designated employees; manage personnel activities to meet University objectives in training, equal pay, equal employment, and wage and salary administration; advise on employment terms of faculty and administration of appointment procedure.
  • Represent program head in administrative meetings, conferences, and other affairs.

MINIMUM QUALIFICATIONS

 

Education

 

Work requires a general business background generally equivalent to a bachelor's degree in a business related field.

 

Experience

 

Work requires 4 years related business or administrative experience to acquire competence in applying general personnel practices, accounting and budgeting principles and coordination of major administrative functions.

 

A master's degree in a business-related field may be substituted for 2 years of experience.
