Duke School of Medicine’s interdisciplinary Duke Molecular Physiology Institute (DMPI), is looking for an Administrative Director to join our team. In this crucial role, you’ll serve as the senior Administrative leader for the DMPI, providing leadership in business management, research administration, facilities, human resources, staff support, and financial and budget planning, while working overall with the Director of DMPI to sustain a positive and inclusive work environment.
Daily, you'll lead the Administrative team, providing staff with training, development, coaching and counseling while building the team environment, and supervising the day-to-day work product of the team.
Minimum Requirements:
- Requires a Bachelor's degree in Business Administration, Hospital Administration, Accounting or a closely related field
- Work requires a minimum of nine years progressively responsible experience in administrative management, to include proficiency in budgeting, grants and contracts, personnel supervision and space and facilities management.
- OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE
- A Master's degree in Business Administration, Hospital Administration, Accounting or a closely related field may substitute for two years of required experience.
Preferred Qualifications:
- Previous experience working at Duke University and familiarity with Duke’s financial systems and processes as well as the overarching administrative workflows for finance, human resources, grants administration and purchasing/procurement
- Minimum of 5 years managing, coaching and developing team members in both their functional and leadership skills
- Ability to manage personnel activities to meet University and departmental objectives in training, equal pay, equal employment, and wage and salary administration
Other Requirements:
- This role follows a hybrid work model, requiring on-site presence 2–3 days per week. Candidates should live within a commutable distance and be able to report to the office on short notice if urgent needs arise.

Position Description:
* Serve as lead financial steward for the institute through:

- Monitoring the overall financial health of the DMPI by utilizing performance metrics
- Providing strategic financial analyses and long-term financial projections
- Evaluating new and ongoing funding opportunities
- Designing, implementing, and evaluating essential reporting and forecasting models needed to support the missions of the DMPI
*Oversight of the monthly FAM (Financial Assessment & Management) validation, review and documentation processes to ensure compliance with established financial and administrative systems and procedures
- Ensure institutional and regulatory compliance for all accounting and financial reporting functions
*Support the DMPI’s essential role as a interdisciplinary institute by developing and drafting inter-departmental and inter-school MOU's for critical partnerships
*In collaboration with the central RASR office and regulatory groups (IRB, IACUC, etc.), oversee the planning for DMPI grants and contracts applications.
- Direct and oversee the Effort Certification process for DMPI staff ensuring all certified effort reports are accurate and timely
- Oversee the procurement process and ensure adequate controls are in place to meet all regulatory obligations and grant requirements.
