JOB SUMMARY

We are seeking an Administrative Coordinator to assist department or division head in administration of department operating procedures and programs.

 

JOB DUTIES AND RESPONSIBILITIES

  • Lead strategic projects and initiatives as directed by Department Leadership including oversight of database systems and coordination of departmental events.
  • Collaborate with Vice Chairs and other departments to plan and execute events aligned with departmental and committee goals.
  • Collaborate with the Vice Chair of Professionalism, Inclusion, Diversity, and Empowerment (PrIDE) and other departments to plan and execute events and projects that support the goals of the Diversity & Inclusion Committee
  • Manage cross-departmental and multi-divisional projects, ensuring smooth coordination and timely execution.
  • Provide ongoing operational and organizational support for clinical initiatives and improvement efforts.
  • Lead quality improvement initiatives, offering consistent updates and feedback to leadership.
  • Influence and optimize internal project management processes related to marketing and clinical leadership.
  • Provide monthly reports and updates on pending initiatives and clinic metrics to clinical leadership.
  • Serve as the departmental administrator for the Qgenda database, which manages provider information, scheduling, clinical targets, and more. Provide training and onboarding for new users.
  • Collaborate with Qgenda system representatives to maintain and optimize database functionality, automation, and reporting.
  • Partner with Division Chiefs to assess annual inpatient coverage needs and create rotation schedules.
  • Develop and implement improvements in database reporting and analytics.
  • Liaise with the Health System to secure the necessary equipment and space for departmental operations.
  • Work alongside the System Physician Liaison to promote educational initiatives and strengthen outreach to primary care providers.
  • Manage the Teleshadowing Experience Program, including applicant review, communication, compliance, pre-shadowing interviews, and scheduling.
  • Support projects focused on identifying and addressing health disparities within the department and patient population, including planning and implementing improvement strategies.
  • Plan, organize, and execute in-person and virtual public service seminars, medical education sessions, and community outreach events (sometimes outside of regular business hours) across the department.
  • Source and coordinate with vendors for departmental events.
  • Assist Department Communication Strategist in managing social media presence for strategic divisions to support outreach and engagement and maintain and update key components of the departmental website.
  • Maintain comprehensive and up-to-date department rosters to facilitate communication across leadership, DHIP, and DUHS staff.
  • Assist the Vice Chair of PrIDE with the management and upkeep of the faculty handbook
  • Maintain and update all departmental organizational charts.
  • Actively participate in and contribute to meetings involving faculty, clinic personnel, and divisional staff.
  • Perform other project-related duties as assigned.

 

JOB ELIGIBILITY REQUIREMENTS

  • Work requires a general business background generally equivalent to a bachelor's degree in a business related field. 
  • Work requires 2 years related business or administrative experience to become familiar with general personnel practices, accounting and budgeting principles and coordination of major office activities.

     

  • A master's degree in a business related field may be substituted for 2 years experience.

     

  • OR ANY OTHER EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE

 

JOB HOURS

The schedule for this position is day shifts, Monday-Friday, with no weekends or holidays.
