 Occupational Summary

Heads the Office of the Director of the Marcus Center for Cellular Cures (MC3), Dr. Joanne Kurtzberg. Supervise an administrative team of 3-4 individuals to support senior leadership staff of MC3.  Independently draft policy positions, presentations, and commentaries. Analyze and synthesize large volumes of data, represent the Director in meetings. Manage donor stewardship and support MC3 development efforts. Oversee budget associated with the Office of the Director, including the Family Support Program, selected grants, and the Lecture Series. Manage and organize External Advisory Board meetings and legislative meetings with Federal agencies (Congress, FDA, HRSA) interacting with the Director. Operate in a high level, fast paced, complex environment with significant exposure and visibility. Provide direction to the Office of the Director. Lead implementation of special projects.

 

Minimum Requirements:

 

Education/Training

Work requires a general business background, generally equivalent to a bachelor's degree in a business-related field.

Experience

Work requires 2 years of related business or administrative experience to become familiar with general personnel practices, accounting and budgeting principles and coordination of major office activities.

A master's degree in a business-related field may be substituted for 2 years of experience.

OR ANY OTHER EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE.

Position Description:

Act as an extender to the Director of the Marcus Center for Cellular Cures, Dr. Joanne Kurtzberg. Independently prepare talks, draft policy positions and create other documents as needed for the Director. Conduct background research on the Director’s behalf for purposes of speech preparation, policy development, etc. Independently draft responses to stakeholders (government, industry, accreditation agencies, patient advocacy groups, sponsors, etc.) to facilitate the Director’s ability to effectively respond to all constituents. Anticipate, research, and prepare documents for the Director’s meetings. Research, analyze and synthesize background information or materials as necessary.

Head the Office of the Director. Supervise the Office’s staff and ensure the Office’s objectives are met. Trouble shoot any issues related to the Office’s operations as needed. Take a proactive role to increase the productivity, efficiency, and organization of the Office. Direct various personnel actions of the Office’s staff, including, but not limited to, hiring, performance appraisals, promotions, and vacation schedules. Proactively identify issues that could impact the successful execution of the Office’s objectives. Elevate issues about which the Director should be aware and provide suggestions to resolve the problem/mitigate the risk.

Manage donor stewardship and other development efforts. Draft grant applications for foundation funding, draft recognition letters and supervise the production of other recognition materials such as books, plaques, and correspondence. Interact with donors in verbal and written communication. Support the Director in her development efforts.

Manage the budgets associated with the Office of the Director, including the Family Support Program budget and the budget for the MC3 grants and Lecture Series.

Manage and organize the External Advisory Board. Act as MC3 main point of contact for Advisory Board members. Draft agenda and prepare background meeting materials to be sent to members ahead of the biannual meetings. Manage and organize legislative meetings with Federal agencies (Congress, FDA, HRSA) which includes daily contact with the federal and congressional parties and agencies

Operate in a high level environment with significant exposure and visibility. Maintain liaison with external organizations, agencies and stakeholders to further the Office’s objectives. Act as the gatekeeper and primary point of contact for internal and external communications from the Office of the Director. Represent the Director as needed in meetings and other events. Correspond with external stakeholders to provide information concerning activities, policies and procedures of the MC3 program. Participate in special projects as assigned by the Director or the Administrative Director. Coordinate the compilation of and prepare operational and financial reports and analyses setting forth progress in such projects, adverse trends and appropriate recommendations or conclusions

Organize events such as conferences and special programs such as the Lecture speaker series. Invite speakers or other participants, and supervise staff who will complete final arrangements for such events. Act as facility manager for MC3 offices in the 9th floor of the North Pavilion and supervise team to coordinate all issues related to Facilities.

Anticipated Pay Range: Duke University provides an annual base salary range for this position as USD $59,829.00 to USD $86,700.00. Duke University considers factors such as (but not limited to) scope and responsibilities of the position; candidate's work experience, education/training, and key skills; internal peer equity; as well as market and organizational considerations when extending an offer.
