We are seeking a highly organized and proactive Administrative Assistant to support MC E&O.
This role involves managing a complex and confidential schedule, ensuring meetings and activities are prioritized appropriately, and resolving scheduling conflicts with efficiency and discretion. The successful candidate will coordinate logistics for a variety of engagements, including internal staff meetings, team-building events, seminars, conferences, and speaking engagements both within Duke and at external venues.

Anticipated Pay Range - Duke University provides an annual base salary range for this position as USD $44,766.00 to USD $71,706.00. MINIMUM QUALIFICATIONS
Education/Training - Work requires a general educational background normally equivalent to a full high school education plus two years of post-secondary education in a business-related field.
Experience - Work requires four (4) years of related business or administrative experience to become familiar with general personnel practices, accounting and budgeting principles, and coordination of major office activities.
OR ANY OTHER EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE.

Coordinate and maintain the office of MC E&O schedule which is of a complex and confidential nature -

- Ensure appropriate prioritizing of meetings and activities; proactively anticipate and handle conflicts in a timely manner;
- Schedule and coordinate arrangements for meetings to include but not limited to, staff meetings, team building functions, seminars and conferences, and speaking engagements both within Duke and at other organizations and locations.
- Interpret departmental and divisional policies and procedures, making decisions on specific operating problems and issuing instructions in the name of the department or division head. Operate with the authority to affect, interpret, or implement management policies or operating practices.
- Independently generate complex and detailed presentations and reports.
- Control and maintain records of departmental or divisional contract and budget expenditures, informing appropriate staff members of the financial status of various projects and/or in matters of significant financial impact. Identify and manage potential vendors and review the qualifications of each.
- Assist and advise the department or division head and staff members on administrative problems.
- Compile reports and analyses setting forth progress, adverse trends, and appropriate recommendations or conclusions.
- Support business operations and strategic planning with analysis and recommendations based on data.
Perform other related duties incidental to the work described herein.
