Occupational Summary

 

This 19.9 hour a week position is under the direct supervision of the Business and Finance Manager. The Office Coordinator will be responsible for assisting the Business and Finance Manager with overseeing an efficient office operation and to perform responsible administrative duties which include reconciling expenditures against funds, preparing and processing financial documents and submitting deposits. Keep abreast of updates within Duke’s financial system.

 

This position could have the flexibility to work from home one/two days a week.

 

Work Performed

 

Assist with the reconciliation of corporate card expenses.

 

Assist with creating purchase orders for goods in Buy@Duke.

 

Assist with renewing and maintaining purchase orders.

 

Process AP check requests for visiting instructors, vendors, external resources.

 

Serve as Works Administrator for Fleet Cards

 

Approve AP check requests submitted by other department areas

 

Make deposits to the Cashier’s Office when needed and maintain record of deposits.

 

Other duties as assigned.

 

 

Required Qualifications at this Level

 

Minimum Qualifications

 

Education/Training

Work requires a broad knowledge of clerical and accounting principles and practices normally acquired through two years of post-secondary education in secretarial science or a related business field.

 

Experience

Two to three years of related secretarial/clerical experience to become competent in the administration of complex office functions related to office organization and management, communications, and budgetary/accounting activities.

 

Skills

Excellent oral and written communication skills

Proficiency in Microsoft Office.

Ability to communicate with diverse populations.

Ability to maintain a positive work atmosphere by behaving and communicating in a manner that fosters good relationships.

 

Ability to think creatively and proactively.

 

Utilize good judgement; reliability; initiative and resourcefulness.
