JHFC Accounting Specialist 

 

Department: John Hope Franklin Center Business Office (supporting JHFC and International Area Studies Centers)

 

Occupational Summary: Participate in a variety of complex accounting tasks involved in providing financial support for university, endowment and grant funds associated with designated International Area Studies (IAS) centers and the Franklin Center. Serve as back-up in preparing and submitting personnel and payroll actions in support of the IAS centers and the Franklin Center. Position reports to the IASC/FC Business Manager and works with staff across the centers to support the business functions. This position will also support visitors to the Franklin Center, rotating schedules with other Business Office staff to ensure coverage Monday-Friday, 9am-5pm.

 

Worked Performed:

 

Perform a variety of complex accounting tasks involved in maintaining financial records and processing related data such as invoices, travel awards, expense vouchers, accounts payable check requests, reimbursements, and other documents for the centers; monitor, verify and reconcile accounts with detailed financial statements to ensure accuracy of revenue and/or expense transactions. Participate in preparation of center budgets to include preparing budgetary projections according to established guidelines; assist as requested in the preparation of grant proposals and monitor, verify and reconcile grant funds as assigned.

 

Serve as Works administrator for the centers to include reconciling cardholders statements with receipts, reviewing Procurement Card transactions and management reports to ensure proper use of card, and completing and submitting forms to correct errors or resolve problems; retrieve cards from employees when appropriate and follow established procedures in the disposition of cards no longer in use; designate default fund codes for unit cardholders; maintain records of receipts and other documentation as required. This position will be the primary reviewer of Concur reports, escalating to the Business Manager as needed. This position serves as back-up in initiating and/or processing payroll and personnel forms as needed.

 

Participate in the delivery of documents to Human Resources, Corporate Payroll, Sponsored Programs, Bursar, Accounts Payable, Employee Travel and Reimbursement, and other offices at Duke as needed to support the business office.

 

Provide room support for the classrooms and conference room in the John Hope Franklin Center and assist with submission of maintenance needs as directed by the business manager, submitting in EAM, Duke’s facilities management system and following up on status of work orders and maintenance needed.

 

Perform other related duties incidental to the work described herein.

 

Education/Training: Work requires knowledge of general accounting principles usually acquired through two years post-secondary education in accounting or related business field.

 

Experience: Work generally requires three years of experience in an accounting setting to become familiar with the accepted accounting practices involved in maintaining financial records, reconciling accounting information and preparing financial statements, or an equivalent combination of relevant education and/or experience.

 

Skills: Excellent accounting and analytical skills in combination with excellent interpersonal skills. Highly versatile with computer programs

Strong knowledge of Duke accounting and personnel systems (SAP/R3 and WORKS).

Education

Work generally requires 3 years of experience in an accounting setting  to become familiar with the accepted accounting practices involved in maintaining more complex financial records, reconciling accounting information and preparing financial statements or an equivalent combination of education and relevant experience..
